This expansion supports our strategy to serve government and private sector clients in capital projects across construction, infrastructure, energy, and commercial developments.
We are currently seeking a motivated Document Controller to support our MENA business expansion as part of our high-performing, diverse, and innovative consulting team. This role is based in Dubai, UAE.
The Opportunity:
The Document Controller will be responsible for managing, organizing, and maintaining project documentation in accordance with company standards and client requirements. This individual will play a critical role in ensuring that all project documents are accurately recorded, stored, and easily accessible to internal teams, clients, and stakeholders. The Document Controller will be responsible for maintaining document control systems and ensuring compliance with regulatory and project-specific guidelines.
This is a full-time position based in Dubai, UAE. Candidates must have full professional proficiency of the English language; proficiency in the Arabic language is a plus.
Role Description:
- Establish and maintain document control systems for capital projects across construction, infrastructure, energy, and commercial developments.
- Manage the document lifecycle, including receiving, logging, tracking, and distributing project documentation and correspondence.
- Ensure accurate classification, indexing, and archiving of project documents, both electronically and physically, in accordance with company standards.
- Implement and maintain document control procedures to ensure compliance with client, industry, and regulatory requirements.
- Monitor and control document revisions and maintain a record of all document versions, ensuring only the latest versions are used.
- Coordinate the flow of documentation between project teams, clients, contractors, and other stakeholders to ensure seamless communication.
- Manage the interface between project-specific and client-specific systems.
- Develop and implement document templates, workflows, and naming conventions to standardize document management processes.
- Ensure timely distribution of documents and correspondence, tracking responses and approvals to maintain project timelines.
- Assist project teams by providing training and guidance on document control procedures and systems.
- Conduct regular audits and quality checks to ensure document accuracy and compliance with established protocols.
- Generate and distribute document control reports to project teams and senior management, highlighting document status, outstanding actions, and compliance metrics.
- Support the digitization of project documentation and facilitate the transition to digital platforms for improved efficiency.
- Maintain strict confidentiality and security of sensitive project information.
Role Requirements:
- 5+ years of relevant experience as a Document Controller, preferably within the commercial, retail, residential, and infrastructure construction sector.
- Bachelor’s degree or diploma in Business Administration, Information Management, Certification in Document Control or Information Management (e.g., Certified Document Controller or equivalent), or equivalent proven professional experience.
- Full professional proficiency in English. Proficiency in Arabic is a plus.
- Strong knowledge of document control software and systems and platforms.
- Experience with electronic document management systems (EDMS) and familiarity with digitization initiatives.
- Knowledge of local regulations and best practices related to document control in the UAE.
- Experience with document version control and managing large volumes of project documentation.
- Familiarity with ISO standards related to document control and information management.
- Excellent organizational and time management skills, with a high level of attention to detail.
- Ability to work independently and manage multiple priorities in a fast-paced, deadline-driven environment.
- Strong communication and interpersonal skills to effectively collaborate with internal teams and external stakeholders.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint) with strong document formatting skills.
- Experience on similar projects in Dubai or Abu Dhabi is highly desirable.
- Ability to work on-site in Dubai and flexibility to travel to project sites if required.
