Bachelor of Business Administration (Management)

Nationality: Any Nationality

Experience: 5 to 10 years

Job Function:

Skillset: Time management, multi-tasking skills, Knowledge of Auto Cad and other graphic software environment, rules and regulations, Very good knowledge of computer applications such as MS Word, Excel, Power Point, Good communication and interpersonal skills.

Qualification (minimum):
Diploma in Engineering or bachelor’s degree is preferred.

Experience (minimum):
5 years experience in document control work preferably in technical environment.
Minimum 3 years experience in Oil & Gas industry.

Job Description & Responsibilities:
Should have a basic understanding of construction projects and documentation system.
Establishing a uniform document/drawing numbering system while adhering to company norms and requirements (DMS digital document management systems).
Should understand and follow company’s specific Document Templates Systems.
In charge of project folder setup, folder management, formulating registries, and document and drawing number allocation.
Liaising with and distributing project-related information with the project team and potentially external parties.
Assist the Assistant Head of Processing Project In charge during the audit and as needed.
Prepare company’s templates reports on projects as required.
Process and control all project document types on a day-to-day basis in an accurate and timely manner.
Ensure that quality documentation, such as documents, drawings, RFIs, and incoming and outgoing registers, is maintained.
File documents in physical and digital records and ensure appropriate storage.
Adhere to the company’s document lifecycle procedures, processes and as required by the Project Team.
Communicates changes to document control procedures or other relevant information to the project team in consultation with the Project In charge.
Assists in implementing new and improving Document Management systems and document management processes.
Train employees about the project documentation system on how to use and access the document.
Maintain confidentiality of sensitive documentation.
Prepare periodical reports to keep management informed and to facilitate decision making.
Ensure compliance to all relevant health, safety, quality and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude.
