Job Responsibilities:

1. Answer and direct phone calls and pass them on
2. Handle employees' onboarding and offboarding process
3. Schedule candidates' interviews and set up for staff meetings
4. Check workers' attendance
5. Coordinate travel arrangements (booking of flights, hotels, transfers, visas, etc.)
6. Serve drinks and direct clients to meeting rooms
7. Order and monitor office, pantry, and toilet supplies
8. Coordinate all other front desk activities
9. Collect and segregate mails daily
10. Mail out cheques and drop off cheques at quick cheque deposit box
11. Arrange for local and overseas couriers
12. Provide administrative support to admin and accounting department
13. Perform data entry duties
14. Maintain up-to-date employee leave records
15. Carry out administrative duties e.g. filing, copying, binding, scanning, etc.
16. Organize and schedule meetings and appointments
17. Maintain contact lists
18. Produce and distribute correspondence memos, letters, faxes, and forms
19. Reply to email, telephone, or face-to-face inquiries
20. Handle sensitive information in a confidential manner
21. Perform any other ad-hoc duties

Requirements:

1. Proven admin or assistant experience
2. Knowledge of office management systems and procedures
3. Excellent time management skills and ability to multi-task and prioritize work
4. Attention to detail and problem-solving skills
5. Excellent written and verbal communication skills
6. Proficient in MS Office
7. At least 1 year of experience in the field or in a related area
8. GCE A Levels or Diploma
