Management Support
Provide administration and secretarial support to the CEO, CFO and Senior management.
Manage calendars, appointments, travel booking and hotel arrangements.
Manage and/or assist in arrangements for receiving guests and customers.
Any other duties which may be assigned from time to time.
Event Management
To plan and coordinate the annual/ad-hoc Company events (Employee Communication Event, Family Day and Townhall meetings, etc.).
Coordinate internal/external meetings/conferences and events.
To assist the CEO in the monthly BGS newsletter.
Office Administration
To coordinate with travel agents for air-ticket booking, visa applications, and hotel accommodations for company staff and overseas visitors.
Receive guests, customers, and colleagues.
To serve as the main company coordinator for all Facilities Management matters, including office safety & fire drills.
Linguistic support for emails and other documents when needed.
To manage and upkeep the office premises (reception, pantry, meeting rooms).
To coordinate weekly Healthy Fruits Day.
To assist the Payroll Administrator with employee claims.
HR Administration Support:
Employee benefits administration (organizing of monthly birthday celebrations).
Mobility administration & preparation of employee letters (visa, airport pass, invitation letter).
QUALIFICATION:
Diploma/Degree in any discipline.
Relevant certifications in office administration or secretarial studies will be an advantage.
Experience in secretarial and office administration.
Strong organizational and personal skills.
Proficient in Microsoft Office, e.g., MS Word & Excel.
