Job Summary

The Finance Executive is responsible for providing financial support and administration to the finance team. This includes processing invoices, vendor payment, maintaining financial records and assisting in preparing financial reports.

Key Responsibilities:

  1. Accounts Management
    • Processing day-to-day financial operations, including accounts payable, accounts receivable, and general ledger management.
    • Managing subsidy and funding payment
    • Maintenance of cash sales and petty cash
    • Reconcile bank statements and resolve any discrepancies.
  2. Financial Document Preparation:
    • Assist in preparing financial reports, presentations, and spreadsheets as directed by the finance manager.
    • Collect, compile, and verify financial data for internal and external reporting.
    • Organize and maintain confidential financial files and documents.
  3. Financial Data Management:
    • Update financial databases and systems with accurate information on transactions and budgets.
    • Track financial data, including expenses and payments, and report discrepancies.
    • Assist in maintaining and updating financial software systems.
  4. Budget Support:
    • Assist in monitoring departmental budgets and expenses.
    • Help the finance director prepare budget forecasts and review budget reports.
  5. Compliance and Documentation:
    • Ensure compliance with internal financial policies and procedures.
    • Assist in preparing and organizing materials for audits and reviews.
    • Manage documentation related to taxes, audits, and other financial processes.
  6. Coordination and Communication:
    • Serve as a liaison between the finance department and other departments to facilitate smooth communication.
    • Coordinate meetings, both internal and external, related to finance and budgeting.
    • Facilitate communication with external vendors and auditors as needed.
  7. Administrative Support:
    • Handle correspondence, emails, and phone calls from clients for payment.
    • Maintain and organize financial documents and records.

  • Organizational skills: Ability to manage schedules, documents, and projects efficiently.
  • Attention to detail: Ensure accuracy in financial records and documents.
  • Communication skills: Ability to communicate effectively with executives, teams, and external stakeholders.
  • Time management: Ability to prioritize and manage multiple tasks efficiently.
  • Technical proficiency: Familiarity with financial software (e.g. QuickBooks) and office tools (e.g., MS Excel, Word, PowerPoint).
  • Problem-solving: Ability to anticipate and resolve issues with minimal supervision.

Qualifications:

  • A Diploma or Bachelor’s degree in Finance, Accounting, Business Administration, or a related field is preferred.
  • Experience working in an administrative role within a finance or accounting department.
  • Strong knowledge of financial principles and office administration.
  • Proficiency in Microsoft Office Suite (especially Excel) and financial software.
  • Strong analytical skills and the ability to work with financial data.
