Responsibilities:

  1. Office Administration
    • Maintain Office for daily operations to ensure efficiency and smooth flow
    • Ensure Office Equipment and Supplies is well maintained and operational
    • Coordinate with vendors, contractors and service providers including cleaning service and building management and landlord
    • Ensure Compliance of Office health, safety and security regulations
    • Develop and implement administrative policies, procedures and office protocols
    • Assist in planning and executing meetings and company events
  2. Administrative & Executive Support
    • Provide administrative support to manager
    • Manage and coordinate calendars, appointments, travel arrangements and expense reporting
    • Screen and manage calls, emails and correspondence on behalf of manager
    • Take minutes of meetings, track action points and follow up on tasks
    • Handle confidential matters with discretion and professionalism
    • Assist Manager in the administration of Private Accounts of Owner and Owner’s Property
  3. HR & Employee Support
    • Assist with employee onboarding, office resources allocation and records management
    • Maintain leave tracking, office policies and HR administration supports
  4. Budget and Expenses Management
    • Monitor and control the office administration budget
    • Manage expense claims, office purchases and vendor management
  5. IT and Document Management
    • Work with IT support to maintain office systems, databases and security protocol
    • Ensure proper filing and retrieval of documents, contracts and reports

Requirements:

  1. Possess at least a diploma in Business Administration
  2. Minimum 3 to 7 years of related working experience in administration and secretarial support
  3. Secretarial skills – ability to manage schedules, correspondence and confidential matters
