Working Location: Bioplis, Singapore
Working Hours: Monday - Friday, 8:30AM - 5:30PM
Contract Duration: 12 months (Renewable with 1 month completion bonus)
Job Responsibilities:
Reception Duties:
- Provide support to all incoming phone calls and on-site visitors.
- Maintain tidiness and manage the issuance & collection of visitor’s access cards.
Administrative Support:
- Offer comprehensive administrative assistance and coordinate with internal and external stakeholders.
- Manage email mailboxes, prepare notifications and announcements.
- Handle local hotel, restaurant, and transportation reservations.
- Manage postage and courier services and support internal events.
Office Management:
- Assist in day-to-day office operations, ensuring a well-organized work environment.
- Coordinate maintenance and liaise with vendors.
- Manage office stationeries, pantry items, company cards (Starbucks, Ezlink), vending machines, books, magazines, communication devices, and verify/process invoices.
Employee Onboarding/Offboarding:
- Prepare welcome packs, desk nameplates, and business cards for new joiners.
Document Management:
- Maintain and organize company records, both physical and digital.
Customer Service:
- Serve as a point of contact for internal and external inquiries, providing exceptional service and resolving issues promptly.
Team Collaboration:
- Work closely with team members to support and contribute to a positive workplace culture.
Job Requirements:
- Diploma in Business Administration or a general field.
- Previous experience in an administrative or office support role is preferred, but motivated individuals are welcome.
- Strong organizational, time management, problem-solving, and interpersonal skills.
- Proficient in MS Office (Excel, Word, PowerPoint, SharePoint, Outlook).
- Good spoken and written communication skills (English).
- IT/Technical savvy, with experience in automating work processes or basic knowledge in Microsoft Power Automate is a plus.
