Job Summary:
The General Manager for Office and Chief of Staff is responsible for overseeing and optimizing all office operations, ensuring seamless management of day-to-day functions while coordinating with internal teams, external partners, unions, and government agencies. This role combines leadership, strategic planning, and operational oversight with a strong emphasis on compliance, governance, and regulatory frameworks related to public sector and unionized environments.
Key Responsibilities:
Leadership and Strategy:
Act as a trusted advisor to the Executive Team, offering strategic guidance on key operational issues.
Lead, manage, and mentor a cross-functional team, ensuring effective collaboration across departments.
Develop and implement office policies, procedures, and workflows to enhance efficiency and maintain high standards of operations.
Oversee the alignment of office operations with organizational goals, ensuring all processes and decisions support broader business objectives.
Operational Management:
Supervise day-to-day office functions including facilities management, administrative support, resource allocation, and other essential services.
Develop and manage budgets, ensuring financial control and resource optimization within the office.
Implement best practices to streamline office workflows, improve productivity, and reduce costs without compromising quality.
Maintain an effective and positive work environment, ensuring employee satisfaction and engagement.
Government and Agency Relations:
Serve as the primary point of contact between the company and governmental agencies, regulatory bodies, and union representatives.
Ensure the organization adheres to all relevant governmental regulations and compliance standards, especially in areas such as labor laws, employment standards, and union agreements.
Develop, negotiate, and manage relationships with key stakeholders, including government officials, union representatives, and other agencies.
Oversee compliance with all legal, contractual, and regulatory requirements, ensuring the organization is prepared for audits, reviews, and inspections.
Union and Labor Relations:
Manage day-to-day labor relations, ensuring smooth negotiation and administration of collective bargaining agreements.
Advise leadership on labor relations strategies and conflict resolution to mitigate potential disputes and foster positive relations with unions.
Collaborate with the HR department to develop strategies for improving workforce engagement and morale in a unionized environment.
Resolve labor disputes or issues by coordinating with union leadership, providing solutions that align with organizational needs and legal frameworks.
Project Management and Coordination:
Oversee and coordinate internal and external projects, ensuring timely delivery and high-quality outcomes.
Support project planning and execution by providing leadership, resources, and strategic direction.
Coordinate with cross-functional teams to ensure alignment of project objectives, timelines, and outcomes.
Review project performance, making necessary adjustments to ensure goals are achieved.
Communication and Reporting:
Serve as a key communicator between senior management, the workforce, external partners, and government agencies.
Develop and implement a robust communication strategy for internal updates, executive meetings, and external stakeholder engagement.
Prepare reports and presentations for leadership and key stakeholders, ensuring that data is accurate, timely, and relevant.
Risk Management and Compliance:
Assess and mitigate operational risks, ensuring that all potential issues are addressed proactively.
Ensure the company’s adherence to health and safety standards, labor laws, and all relevant government regulations.
Lead efforts to prepare for audits or compliance reviews from government agencies and regulatory bodies.
