Job Title: Confirmations Officer
Grade: SBG08 – SBG10
1. Overall purpose of job:
- Responsible for the matching of confirmations for various Treasury products.
- Investigate and resolve exceptions on deals accurately and timeously.
- Provide a high level of service quality to the Treasury dealers, counterparties, clients, and internal departments.
- Undertake any related tasks, as delegated by the Manager.
2. Position in department:
- Directly responsible to: Manager Confirmations
- Subordinates directly supervised: none
3. Regular liaison with:
- Internal: ICBC Standard Bank Plc – Global trading desks and trade support teams.
- External: Various representatives of all global banks with which ICBC Standard Bank Plc. has a business relationship.
4. Personal Activities
4.1. Responsible for:
- Ensuring the accurate matching and confirmation of all trades executed by ICBC Standard Bank Plc.
- Assisting in the efficient resolution of all queries relating to payments.
- Ensure that all discrepancies are investigated and resolved within 48 hours.
- Providing a superior level of customer service to all stakeholders.
- Being aware of risks and identifying ways in which risks can be reduced.
- Continued learning and development.
4.2 Tasks
4.2.1 Daily:
- Ensure that all items are actioned in Xceptor/Intellimatch.
- Attend to any other duties as delegated.
- Ensure that all confirmations in Xceptor are attended to on time.
- Ensure that no Confirmations are left unattended.
- Advise settlement officers immediately of any error to enable them to do amendments.
- Ensure that the various Recs are actioned daily and any errors are escalated to Trade support urgently.
- Be aware of the Confirmations Policy.
- Identify risk within our business and how to eliminate them.
- Escalate errors and any urgent problems picked up.
- Make recommendations for preventative measures and extra checking duties where required.
- Ensure that all reports are printed and actioned accordingly.
- Check that all queues are clear by COB.
4.2.2 Monthly:
- Compile weekly stats from Xceptor.
5. Minimum Requirements:
1 Previous Experience:
- Have suitable knowledge/understanding of various systems used within the bank (would be an advantage).
- Basic computer literacy in Word, Excel, Outlook, and PowerPoint.
- Basic knowledge awareness of foreign exchange (would be an advantage).
- Good understanding of the various Swift message types used for foreign exchange deals (would be an advantage).
- Able to communicate verbally and in writing at all levels.
