We are seeking an enthusiastic person to join our Portering support team to provide leadership and support for Porters and Operational Orderly's, based in Radiology and Theatres. This will also include crossover work within our car parking team. You will be expected to have a good level of education and be able to demonstrate a basic understanding of computerised software such as Microsoft Word, Excel and PowerPoint. You will be expected to have a good understanding in leading teams, preferably in Portering; however, experience in other similar fields can be accepted.
The candidate should be able to work in a calm, logical and methodical way and be able to multi-task. They should also demonstrate an adaptable, flexible approach to work both within a team as well as being able to use their own initiative.
The role will be onsite based and support should there be shortfalls in the team.
Internal Applicants who are currently on Agenda for Change terms and conditions will be at Band 4.
The role of the Portering and car parking Team Leader has a split role of 70:30 (70% portering, 30% parking). It is important to take note this is subject to operational need and can differ depending on workload across the departments; this is a fluid job role.
To lead the day-to-day operational services of the South Warwickshire NHS Foundation Trust Radiology and Theatre departments Porters and Operating Department Orderly's (ODO).
The post holder will maintain operational knowledge of both services detailed below so that to ensure a smooth seamless support is maintained at all times. In addition, the post holder will provide cover during leave and absenteeism.
The post holder will be the first point of contact for departments which will require high visibility to all users of the services and the staff/teams that they lead.
The post holder will be required to delegate tasks as necessary throughout departments, services and teams, whilst utilising good leadership and problem-solving skills, ensuring that they actively pursue and reinforce policies in relation to Equal Opportunities and diversity legislation.
The post holder will also support the administration activities for car parking. This will include day-to-day parking permit approvals, facilitating the parking mailbox, dealing with day-to-day car parking queries and questions, and preparing and completing staff permit approvals, removals and payroll information.

The company provides a number of services such as outpatient pharmacy facilities at Warwick and Stratford and Nuneaton hospitals; estates and facilities management at Stratford hospital, Acorn House and Lillington Health Hub; private patient service and consultancy services to NHS Trusts.

Portering and ODO leadership
Your primary responsibility/duty is to lead all aspects of the daily operations of the area/areas by providing an excellent customer-focused service, ensuring that all Department tasks/duties are completed in a professional and timely fashion.
To be responsible for the supervision and administration of the porters and ODOs designated within Radiology and Theatres. This will include but is not exclusive to appraisals, attendance, booking of bank staff, sickness/absence records through the use of the Trust databases, and arranging bespoke and/or mandatory training.
The role will be onsite based and support should there be shortfalls in the team.
To manage and maintain adequate staffing levels by co-ordinating, liaising and producing all staff duties/rosters, ensuring that any staff absence is covered.
The post holder will be required to deal with complex, emotional, and confidential facts and situations that may require them to make difficult decisions to resolve the situations and/or issues. During this time, the post holder will be required to show professionalism whilst demonstrating empathy and maintaining confidentiality at all times.
The post holder is expected to assist in the creation and reviewing of policies and departmental procedures; once agreed, implement the changes within the departments of responsibility.
The post holder will be required to undertake incident reporting and investigation, disciplinary, sickness absence, health & safety, and moving and handling investigations in a fair, objective and professional manner, ensuring that where appropriate action/sanctions are taken and that consideration of preventive action is implemented.
The post holder will be responsible for identifying and undertaking all types of risk assessments for example but not exclusive to health & safety, COSHH, moving & handling, and to lead on any subsequent action plans that may occur as a result of the risk assessment being undertaken, ensuring that all actions/assessments are discussed with the relevant staff teams/groups and are implemented maintaining controls, contingencies and action.
Provide an efficient and effective response to deal with day-to-day inquiries and complaints, escalating complex issues to the relevant manager.
To report variances and reduction in service to the Car Parking and Portering Lead, identifying reasons and assisting with the establishment of a remedial action plan to ensure services are delivered.
To manage own diary ensuring that all meetings, hearings, staff/management one-to-ones are attended in a timely fashion.
To undertake audits ensuring that all evidence required is gathered appropriately and that all necessary documentation is completed correctly and that any resulting urgent actions are communicated to the relevant parties as soon as feasibly possible, and required written reports and documentation are forwarded to the appropriate member of staff/organisation in a professional and timely fashion.
To assist in the design and implementation of all bespoke departmental training courses.
Ensure that the services/departments of management responsibility and indeed yourself (the post holder) attend all mandatory and other job-specific training as required, keeping accurate records of completion.
Undertake/arrange and attend team/department meetings on a regular basis and contribute to building effective teamwork in exchanging views and ideas and communicating effectively, ensuring that minutes are taken when required. To provide short-term cover for colleagues during periods of leave.

Car Parking
Support the operations of the Car Parking Management System (CPMS) throughout the Trust with leadership of the Car Parking and Portering Lead.
Process applications that have been requested by staff and/or external users of the Trust's car parks. This will include but is not exhaustive to approvals, waiting lists, and removals.
Processing payroll requests for car parking deductions from salary.
Dealing and responding to correspondents within the parking mailbox.
Escalating Parking charge notices to the nominated car parking management provider for swift resolution.
Processing concessions which are available for patients, directed by wards and/or departments.
Work in partnership with other organisations to improve the provision of onsite facilities (e.g., cycle parking).
To support, through the CPMS reporting the car parking capacity of the Trust sites.
