About The Role
Context & Scope
MENA (Middle East and North Africa) is one of the most competitive, complex, volatile and fastest growing markets globally. MENA headquarter is in Dubai while Beirut Operations is run from Lebanon Hub.
Purpose of position
- To provide proficient executive assistant support to senior leaders in our business.
- This is a varied and challenging role which requires a high degree of proactivity, flexibility, initiative and confidentiality.

Role Responsibilities
Key responsibilities
- Lead and manage EA support for 3–4 senior leadership team members, with a direct reporting line to one designated leader.
- Lead office management, ensuring all office supplies are proactively planned, stocked, and readily available.
- Lead employee engagement initiatives to support culture-building efforts, in close partnership with the HR team.
- Effective diary management - emphasis on anticipating needs and understanding priorities
- Ability to set up and run virtual meetings – anticipating needs, utilising best practice tools and technology to drive effectiveness
- Management/co-ordination of functional specific projects and administration
- Co-ordination of data and preparation of relevant business reports and presentations
- Organize departmental and other meetings as required; take minutes of meetings and prepare final reports of proceedings as necessary. Follow through on action items.
- Manage facilities and workspace operations by liaising with building management and service providers, coordinating maintenance and fit-out requirements, and ensuring workspaces, meeting rooms, and common areas are consistently well maintained.
- Ensure all Purchase Orders, invoices and expenses are completed in a timely, accurate and compliant manner
- Travel, visa and accommodation management and co-ordination for the LT team members
- Timely management of expenditure via Concur, ensuring a thorough filing and reference system is in place
- Management and organisation of internal and external events e.g. conferences, meetings, events
- Meeting space management and bookings
- Provide office management support in smooth running of the Dubai office. Support with managing office stationery, maintaining office contracts, organising office meetings and social gatherings.
- In addition, there may be asks from the broader leadership community where there are critical, ad-hoc or set piece meetings that need to be arranged.
- The scope of the role is evolving and may change basis the needs of the organization.

Experience / Skills Required
Qualifications and Experience Required
- 8–10 years of progressive EA experience, ideally within complex, matrixed, blue-chip FMCG multinational environments.
- Demonstration of high performance in a PA or Team Assistant role operating at a senior level.
- Experience in Microsoft suite usage and technology and digital savvy, proficient in digital and virtual meeting tools.
- Ideally proficient in the relevant functional systems e.g. Workday.
- Experience of working across geographies would be advantageous in certain roles
- Excellent relationship building skills, with a recognized track record as a trusted team player.
