Job Summary:

We are seeking our Logistics Assistant to join our fragrance manufacturing team. He/She will support our Logistics Department with all aspects of the company's supply chain, from preparation to delivery, and will ensure that deadlines are met. The Logistics Assistant will ensure the efficient handling, storage, and transportation of raw materials, packaging supplies, and fragrance products. This position supports the day-to-day logistics operations, ensuring timely and accurate delivery of goods while maintaining compliance with safety and quality standards specific to the fragrance manufacturing industry.

Key Responsibilities - not limiting:

Inbound & Outbound Logistics

1. Assist with the coordination of incoming raw materials (essential oils, aroma chemicals, etc.) and outbound shipments of finished fragrance products.
2. Ensure accurate documentation and labeling of all materials and products.

Inventory Support

1. Monitor raw material inventory levels and update stock records using ERP or warehouse management systems.
2. Assist in periodic inventory counts and reconciliations.

Shipping and Receiving

1. Prepare shipping documents (invoices, packing lists, bills of lading).
2. Verify quantities and conditions of incoming and outgoing goods.
3. Liaise with transport vendors, freight forwarders, and customs agents when needed.

Warehouse Operations

1. Support proper storage and handling of fragrance ingredients, ensuring compliance with safety and environmental guidelines (flammability, volatility, etc.).
2. Maintain cleanliness and organization of the warehouse and logistics areas.

Coordination and Communication

1. Collaborate with production, procurement, and quality control teams to ensure timely availability of materials.
2. Track delivery schedules and update Customer Service on logistics status.
3. Coordinate with forwarders all the required documentation for delivery.

JAFZA Authority and Customs Permit Applications

1. Apply for permits for additional chemicals at the Trakhees portal.
2. Process the application for the JAFZA Storage Non-Objection Certificate.
3. Oversee and monitor the application for the SIRA permit if needed.

This list of tasks is not limiting and can be modified or extended according to the needs of the Logistics Department.

Qualifications & Competencies:

1. Fluent in English.
2. College diploma or equivalent.
3. Logistics or supply chain certification mandatory.
4. Prior experience with Jebel Ali free zone regulations.
5. Prior experience of at least 3 years in logistics, warehousing, or supply chain (experience in manufacturing or fragrance industry preferred).
6. Good knowledge of logistics software (ERP, SAP, Oracle, or similar).
7. Strong knowledge of hazardous materials handling and safety regulations.

Good knowledge of Customs regulations.
