Job Description
Summary:
As a core member of the Global Finance, Commercial Real Estate Conference Delivery Team, working alongside other Delivery Managers, you accept responsibility and accountability for outstanding delivery of your elements of designated conferences. You are a great negotiator, strong team player, and confident in working on appropriate initiative.
The successful candidate will be a self-starter, experienced in conference planning and administration and have excellent time management skills. Importance is placed on understanding the demands and requirements of managing competing priorities in a strict deadline driven environment and at the same time maintaining accuracy, thoroughness, and flexibility.
The Delivery Manager role offers variety across the event spectrum and will be allocated one of the below on a number of events during the year:
- Speaker & Sponsor management, or
- Venue, AV, Staffing management
This role requires occasional overnight travel in Canada.
Due to the strict language laws in the Province of Québec - only those with excellent written and spoken communications skills with proven fluency in English and French should apply as both languages will be used extensively on a daily basis.
Conferences and forums outside the Province of Québec are delivered in English. Events located in Québec require bilingualism for communication with speakers, sponsors, audience, suppliers and venue to the level expected by the Québécois.
Responsibilities
- Speaker liaison and management, including customized letters, emails, telephone inquiries and courtesy calls.
- Responsible for obtaining and collating all speaker presentations and management of these to delivery onsite.
- Responsible for gathering speaker biography and headshots & uploading to CORE website.
- Responsible for delivery related customized speaker/speaker admin assistant pre-event liaison and communication (emails, phone).
- Onsite speaker contact, delivery of sessions in plenary & concurrent session rooms.
- Brief AV technical team and responsible for Informa title slides, sponsor exposure slides and speaker presentations loaded and time ready in the correct rooms.
- Responsible for sponsor liaison – once Sales Team have secured a contract - manage information flow with sponsors to maintain and update their company profile, apply accurate logo, manage the entire remit of sponsor deliverables associated with the in-person event – including setting up promo codes for any complimentary registrations associated with the sponsor contract.
- Creation of PowerPoint (speaker info, sponsor info and loops, etc.).
- Management of sponsored promotional items including procurement, providing accurate logos, and editing to sponsor contract.
- Signage Management - liaison with graphic designer including design, layout, formatting, proofing to print company and to event delivery.
- Shipping Management for conference items to venue (and return to Informa office).
- Ensure that sponsor requests for post event analytics/data are forwarded to appropriate team members for fast action.
- Liaison with Informa Research & Insight team on post event attendee satisfaction survey – proof the survey.
- Responsible for ensuring accuracy and consistency in English / French in communications from the Delivery Team.
Venue, AV, Staffing Management Duties include:
- Space management and floorplans.
- Responsible for accurate food & beverage orders – including any special dietary requirements.
- AV orders for plenary, concurrent session rooms and prefunction space (liaising with producer for any specific speaker requests).
- Responsible for securing external freelance, agency and security staff for event delivery and onsite briefing.
- Provide information and/or update delivery pages as necessary in event website in CORE.
Additional Duties:
- Organize pre-event information presentation to staff travelling to the event.
- Post event debrief meeting with pertinent staff.
- Responsible for setting up team travel site in designated travel software.
- Budget input and invoice processing in SAP - for appointed events.
- Management of data and files in accordance with corporate and Canadian govt policy.
- Other duties as required.
Qualifications
Proven Skills and Competencies:
- Operational experience in the B2B and / or B2C events industry.
- Demonstrable experience of multi-platform delivery of live experiences and working with service providers of event products.
- A team player with the ability to operate at both strategic and operational levels.
- Tech savvy and willing to adopt and embrace new technologies.
- Basic skills in Illustrator, Photoshop.
- Detail-oriented, excellent written and verbal skills, extremely organized.
- Positive can-do attitude. You relish a challenge and are confident finding solutions to problems.
- Negotiation and management of high-level supplier contracts and relationships.
- You are adaptable to change and a fast-paced environment.
- You are ambitious, influential and pay close attention to detail.
