Job Description
The primary purpose of this role is to provide essential support to the sales team ensuring efficient operations, sales processes, and accurate data management. The Sales Coordinator plays a critical role in maintaining accurate records, coordinating reporting, and supporting the sales team in achieving their goals.
Key Performance Outputs
- Assist Account Managers and Sales Managers with processing of opportunities and orders on the system.
- Conduct regular checks to verify order fulfillment status and address any open sales issues.
- Collaborate closely with Account Managers and Sales Managers / Directors to create and process sales orders.
- Collaborate with Logistics / Operations to communicate fulfillment delays and support Sales operations during peak periods.
- Ensure timely fulfillment of sales orders to facilitate invoice generation by the Finance Department.
- Handle reallocations and generate new sales orders as requested by Account Managers and Sales Managers / Directors.
- Ensure Key Account / Sales Managers and Directors keep to timelines for processing of opportunities, pricing, sales orders, RA's, etc.
- Contribute to maintaining accurate financial records for sales transactions.
- Generate and process Return Authorizations based on Account Manager and / or Sales Manager / Director requests.
- Coordinate with the Finance Department to ensure accurate credit and claims management.
- Prepare claim import sheets after Account Manager and / or Sales Manager / Director approval of account sales.
- Assist in credit insurance processes and updates within NetSuite once approved.
- Coordinate the Terms and Conditions (T&C) signing process ensuring compliance and required documentation completion.
- Centralize the setup of new customers on the system ensuring complete and accurate customer information.
- Assist in the completion of Credit Insurance forms for clients and update NetSuite with approved information.
- Upkeep Customer Information in the CRM and identify and address gaps in CRM data to enhance data quality.
- Capture and organize leads generated by the sales team from various sources such as customer tradeshows, email inquiries, etc.
- Assist with addressing day-to-day customer queries in the absence of Account Managers and / or Sales Managers / Directors.
- Provide ad hoc support to the sales team as needed to ensure efficient operations.
- Collaborate with team members to streamline processes and enhance overall sales support function.
- Participate in IFS audits as a deputy representing the sales team.
- Contribute to the yearly update of Sales processes Standard Operating Procedures (SOP).
- Assist in organizing Post Season and Inseason Customer and Grower reviews / reports.
- Coordinate the compilation and distribution of "Market Feedback" and "Feedback from the Field" reports to growers.
- Help provide data and reporting assisting the Territory Director to have a view of the territory figures in real-time.
Requirements
Qualifications / Experience :
- Only applicants who meet the outline role requirements will be considered.
- BComm Degree / Diploma with a Marketing / Logistics / International Trade major or similar degree. Suitable tertiary qualification.
- Minimum 2-4 years of work experience.
Technical / Functional :
- Proficiency in using Netsuite or similar ERP systems.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Experience in sales coordination or related roles.
- Experience with commercial finance processes and customer data management.
- Excellent email etiquette.
