Responsibilities
Event Planning and Coordination
- Support the planning and organization of B2B events such as trade shows, conferences, webinars, and corporate meetings, ensuring that each event runs smoothly from start to finish (e.g., pre-event marketing plan, registration, consistent communication, creation of executive summary, leading pre and post-event calls, ordering signage, ordering swag, reserving event space, etc.).
- Coordinate with internal teams (sales, design, marketing, product) and external vendors to ensure all event logistics are efficiently communicated and deadlines are met.
- Develop and manage each event’s timeline, agenda, executive summary, lead tracking spreadsheets, and task lists, ensuring all sales teams are aligned.
- Understand and track the budget for each event, ensuring that all activities are executed within financial constraints while still achieving positive return on investment.
Marketing and Promotion
- Responsible for collaborating with the design team to create briefs for event marketing materials, including invitations, promotional emails, social media assets, one-pagers, handouts, event brochures, etc.
- Oversee and execute pre-event and post-event marketing campaigns, with a specific focus on email campaigns.
- Maintain open and effective communication with attending teams by sharing relevant updates, ensuring knowledge transfer, and updating event-related content across internal platforms and social media.
Remote On-site Support
- Be available to support the on-site team during live events, providing assistance with any last-minute needs and ensuring the team has the resources required for a smooth event.
- Maintain constant communication with the on-site team through digital channels (Teams, iMessage, WhatsApp, email, etc.), ensuring any issues or adjustments are quickly addressed.
- Help resolve challenges remotely, providing guidance and support to ensure the event runs as planned, even from a distance.
Post-Event Activities
- Assist in gathering and analyzing feedback from attendees and stakeholders to evaluate the success of the event and identify areas for improvement.
- Support the creation of post-event reports and presentations that summarize key outcomes, insights, and areas of growth.
- Manage follow-up communications and lead generation activities, ensuring proper tracking and uploading of MQLs and leads into Salesforce.
- Ensure proper lead management by uploading and tracking leads in Salesforce and maintaining relevant spreadsheets.
Administrative Support
- Maintain and organize event documentation, ensuring MQLs, opportunities, and leads are properly tracked and stored in the correct SharePoint folders.
- Handle vendor contracts, invoices, and budget tracking, ensuring all financial details are accurately recorded.
- Track opportunities on Salesforce weekly to ensure ROI is up to date.
- Provide general administrative support to ensure the successful execution of events.
Minimum Requirements
- Demonstrate strong organizational skills and meticulous attention to detail to ensure seamless event planning and execution.
- Possess excellent written and verbal communication skills for collaborating with internal teams, vendors, and event attendees.
- Ability to manage multiple tasks and projects simultaneously, meeting deadlines in a fast-paced environment.
- Work collaboratively with cross-functional teams and be flexible in assisting with various event tasks to ensure success.
- Effectively lead event planning activities, ensuring logistics, timelines, and task lists are managed efficiently and executed on time.
- Take the lead on event marketing efforts, including creating promotional materials and coordinating email campaigns and internal communications.
- A dependable team member who consistently contributes to the successful execution of B2B events, delivering results aligned with business objectives.
