Continued growth and changes in market demand have created an opening for an experienced Project Manager to join our team, in order to expand our capability to deliver the large range of projects on our regular portfolio, alongside new event opportunities that are being presented. Job Description – Project Manager
We are looking for an experienced project manager to assist our existing production team in the design and management of a wide range of projects within the live corporate event sector.
The candidates’ main responsibilities will be to manage the smooth running of events from project kick off, through to delivery and de-brief - taking the lead on their own projects and working as part of a wider team on larger events. The candidate should have a good technical knowledge of live event equipment and systems, with basic understanding of all disciplines – so they can effectively manage the procurement of AV suppliers, and ensure the highest quality of event is delivered on site.
Responsibilities will include initial brief discoveries, concept design, budgeting, compiling proposals and working with our associates to compile technical systems and briefs. Direct communication with clients is essential to ensure all objectives are met, whilst ensuring our company standards and morals are adhered to throughout.
Required Key Skills
- Management experience in technical event production (ideally within the live corporate sector)
- Proficiency with CAD software (AutoCAD LT preferred)
- Experience managing onsite crews and subcontractors
- Proficiency in management H&S
- Excellent computer literacy
- Strong budgeting skill, ability to procure suppliers and estimate/manage costs.
- Strong written and verbal communication skills
- Strong organisational and time keeping abilities
- Proactive with can-do attitude
- High level of creativity
- Willingness to travel and ability to be away from base for short periods of time on projects

Detailed Role Description
Pre-Production
- Work within our design team to create innovative and impressive event concepts, which work within (and maximise) client budgets whilst matching their brief.
- Sourcing and working with key suppliers to produce briefs / RFP’s, manage quotes and procure necessary contractors to deliver events.
- Attend site visits and client meetings.
- CAD design, including set / event design, formulating room plans and tech specs.
- Working with our graphics department to communicate design requirements when creating the design concept of the event, creating rendered visuals if required. Involvement in the graphics creation process to ensure on screen content matches client brief, and works with the AV setup in context of the event.
- H&S management of projects – creation of RAMS documents, and management of subcontractor documents.
- Creation of all necessary on-site documentation, including CAD plots, running orders, build schedules and show blocks.
- Assisting with the sourcing and management of external freelance event support and on-site crew.
- Management of internal stock – creating prep lists and managing small amounts of stock control to ensure laptops / essential event equipment is ready to deliver projects.
On-Site
- Representing the company as the main point of contact for the client / venue.
- Quality management - delivering events to the highest possible standard without prompt.
- Ensuring all on-site teams are fully briefed as to their responsibilities and operational roles.
- Working with technical teams to ensure all deliverables – pre-show checks of all systems, delegate experience walkthroughs.
- Managing technical, content, and talent rehearsals to ensure all involved parties have a full understanding of the event prior to its commencement, and updates are made to show blocks to ensure a smooth production.
- Experience of Show Calling on smaller events would be preferable.
Post Event
- Ensure all deliverables are met, such as event highlights edits, post event stats etc.
- Post-event de-brief with internal / external teams and suppliers.
- Post event wrap-ups / debriefs with clients – gather feedback and use to build improvements for next events.
- Management of any GDPR and sensitive data from our internal systems – highlighting any data that is retained, and disposal of un-necessary data.
- Financial reconciliation – checking all supplier invoices and passing to accounts team for payment.
Experience
- Professional project management experience – 2-3 years minimum across a range of venues.
- Experience in design and delivery of events, ranging from small meetings of <100 people to large award ceremonies of 1000+ attendees.
- Good base technical skills and knowledge in all event sectors – lighting, video, audio, rigging and set/stage.
- Up to date with industry knowledge, trends and contacts.
- Passport and willingness to travel essential.
- Full driving license desirable.
Salary & Working Hours
- Full time position working from either our London or Edinburgh Offices, with an initial 3-month probationary period. After this period, a yearly review will take place to assess performance. Options to work remotely will also be considered.
- Standard office hours are Monday to Friday, 09:00 – 17:00. Obviously, the nature of the events industry dictates that extended working hours will be expected whilst on site delivering projects. Overtime is not payable, but time off in lieu will be provided where possible and reasonable to compensate for any extended or unsociable hours required to fulfil the role.
- Salary: Dependant on experience / abilities and subject to the usual tax and NI contributions.
- Holidays: 34 days holiday entitlement will be provided. This includes standard bank holiday allowances (9 for Scotland) and 5 obligatory days at Christmas, when the company closes for the festive break. The individual may choose to work bank holidays, should they wish to accrue their holiday time.
- An auto-enrolment pension scheme is provided, employer contributions are paid at 5% of gross salary, with the employee’s contribution set at 5%.
- A company private health insurance policy is also provided, including cover for dental, eyesight and hearing.
