Payroll Specialist & HR Coordinator
Top Lift Enterprises is a leader in the sales and distribution of construction, material handling, and industrial equipment. Due to growth, we are currently seeking a Payroll Specialist/HR Coordinator who will be based out of our Stoney Creek, Ontario office.
The Payroll Specialist & HR Coordinator is responsible for processing payroll across multiple provinces, supporting HR functions such as onboarding, offboarding, employee training tracking, and benefits administration. Additionally, this role includes asset management of company-provided equipment, ensuring proper documentation and accountability. The role requires a strong understanding of payroll compliance, HR processes, and attention to detail in maintaining employee and asset records.
What will you do as a Payroll Specialist & HR Coordinator?
Payroll Processing & Compliance
- Process bi-weekly payroll for employees across five Canadian provinces using Payworks.
- Manage U.S. payroll for a small group of employees using ADP, ensuring compliance with U.S. payroll regulations.
- Ensure payroll accuracy, including wages, deductions, benefits, and statutory remittances.
- Process WSIB/WCB reporting and maintain compliance with provincial workers’ compensation requirements.
- Handle pension and benefits remittances and ensure timely processing.
- Maintain payroll records, including timesheets, tax forms (T4s, ROEs), and direct deposit details.
- Address payroll inquiries from employees and resolve discrepancies.
- Ensure compliance with federal and provincial payroll legislation.
- Assist with year-end payroll reconciliation and reporting.
Human Resources Support
Onboarding & Offboarding employees
- Prepare and issue offer letters to new hires.
- Collect and verify new hire information and set up employees in the appropriate systems.
- Manage employee offboarding, ensuring removal from all applicable systems and all assets are collected.
- Track and manage employee training records.
- Collect monthly safety inspections and maintain compliance records.
- Audit inspection records, ensuring documentation accuracy and compliance with safety regulations.
- Manage recruitment including posting job openings, screening resumes, coordinating with external recruitment partners.
Asset Management
- Track and manage company assets, including cell phones, fuel cards, and vehicles.
- Maintain an up-to-date inventory of assigned assets.
- Coordinate asset distribution and retrieval when employees join or leave the company.
- Work with Finance to track asset costs and reporting.

What we are looking for:
- Payroll Compliance Practitioner (PCP), or any other payroll designation is a strong asset.
- Post-secondary diploma or degree in Human Resources, Payroll, Business Administration, or a related field.
- 5+ years of experience in payroll and HR functions.
- Bilingual (French and English) is a strong asset.
- Experience with Payworks for Canadian payroll and ADP for U.S. payroll is required.
- Strong knowledge of payroll regulations across multiple Canadian provinces and U.S. payroll compliance.
