We are looking for an Executive Assistant—a structured, highly organized, and execution-focused professional who can manage internal coordination, track key priorities, and ensure seamless execution across multiple business functions.

Key Responsibilities
- Leadership Support & Special Projects
- Support the Senior Director in managing and prioritizing strategic initiatives and high-priority projects.
- Draft meeting agendas and prepare materials for key meetings.
- Assist in business development efforts, including tracking opportunities and preparing presentation slide drafts.
- Crisis & Issue Management
- Act as an early warning system by flagging potential risks and operational bottlenecks.
- Coordinate responses to urgent issues, ensuring timely and effective resolution.
- Maintain discretion and manage confidential matters with utmost professionalism.
- Process Optimization & Efficiency
- Identify inefficiencies in workflows and propose process improvements.
- Develop and implement systems to enhance productivity and execution speed.
- Ensure that best practices are documented and institutionalized within the team.
- Operational & Knowledge Management
- Maintain key documents, reports, and background materials, ensuring easy access to critical information.
- Manage internal workflows related to facilities, office operations, and vendor coordination.
- Track meeting outcomes, deadlines, and follow-ups, ensuring strategic priorities stay on track.
- Serve as the central knowledge hub, organizing and structuring information for leadership.
- Internal Coordination & Stakeholder Management
- Act as the internal point of contact, ensuring smooth communication across teams.
- Track key priorities and ensure stakeholders are updated and aligned.
- Facilitate coordination across business functions, ensuring execution on internal and external initiatives.
- Serve as an internal diplomat, managing relationships and ensuring collaboration across leadership teams.
- Executive Operations & Scheduling
- Own and manage the Global Senior Director’s calendar—optimizing time and balancing priorities.
- Coordinate complex scheduling, travel, and stakeholder meetings with efficiency.
- Filter and prioritize internal and external engagements, ensuring effective time management.
- Ensure the Senior Director is always briefed, prepared, and focused on the right priorities.

Qualifications & Experience
- 3-6 years of experience in executive support, operations, or internal coordination.
- Strong calendar management, scheduling, and stakeholder engagement skills.
- Excellent written and verbal communication—able to manage priorities and align teams.
- Experience in consulting, corporate operations, or professional services is a plus.
- Proficiency in Microsoft Office, Google Suite, and task management tools.
