PAYROLL OPERATIONS:

1. Ensure all aspects of payroll operations including timekeeping, payroll adjustments, tax and social security withholdings, deductions, and compliance with national (including federal, state, provincial and local regulations) are completed.
2. Understanding of inbound flows ensuring accurate wage types exist and are working.
3. Ensure accuracy and timeliness of payroll operations as per company policies.
4. Ensure all special compensation payroll processing including bonuses, awards and tax gross-ups are processed timely and accurately.
5. Ensure taxes, pensions, Meal Vouchers, or any other employee deduction or employer obligation are reported and paid to applicable authorities/vendors accurately and timely.
6. Review and approve payroll reports, reconciliations, purchase orders and tax filings to guarantee compliance with legal requirements and internal policies.
7. Plan and execute year-end payroll processes, including End Year Statement processing and tax reporting.
8. Develop and coach the team on processes, policies and systems/tools while creating a positive, collaborative and service-focused environment.
9. Create collaborative relationships with various stakeholders in People Support, People Ops, GPA, GPS, GPO, WFM, P2P, O2C, Ben Admin and Legal.
10. Ensure you and all team members are cross-trained in all aspects of payroll operations for backup support.
11. Be able to process any payroll within your scope of responsibility if someone goes on leave or holiday.
12. Create and manage monthly & annual payroll calendars.
13. Support and/or handle escalation cases or tasks.
14. Close open cases when they have aged.

SYSTEM MANAGEMENT:

1. Collaborate with payroll service providers, vendors, and GPS to ensure smooth operation and resolve any issues promptly.
2. Evaluate performance regularly and initiate improvements or changes as needed to optimize service delivery and cost-effectiveness.
3. Participate in defining Service Level Agreements (SLAs) with external vendors and internal teams.
4. Attend vendor meetings to provide feedback and understand any system changes.
5. Participate in project requirements documentation and testing.

PROCESS IMPROVEMENTS:

1. Identify opportunities to enhance efficiency, accuracy, customer experience and compliance through process improvements in payroll operations, systems and procedures.
2. Implement best practices and streamline workflows to optimize payroll processes, reducing manual efforts and mitigating risks.

CUSTOMER SERVICE:

1. Act as a primary point of contact for payroll-related inquiries from escalations, managers and stakeholders.
2. Provide timely and accurate responses to payroll inquiries, offering exceptional customer service and support to resolve issues effectively.

COMPLIANCE AND REPORTING:

1. Stay abreast of all payroll and tax laws and ensure compliance for payroll & tax in all locations including tax reporting and specific deductions (and when those deductions should be taken), etc.
2. Ensure payroll-related reports, filings and documentation are completed accurately and on time.
3. Implement and monitor adequate controls, working in partnership with internal and external teams.
4. Deliver Ad hoc reporting and creatively solve operational errors for singular or mass employees.
5. Ensure all processes protect PII while completing tasks and ensure compliance with Apple’s Privacy Policy and regulations like GDPR.
6. Participate and support Sox reviews and testing results.

• Bachelor’s degree in accounting, finance, human resources or a related field.
• 7+ years of experience in payroll management or a similar accounting role.
• In-depth knowledge of payroll processes, labour laws, taxation and statutory compliance in APAC and EMEA countries.
• Experience in handling payroll audits, inspections and compliance assessments.
• Proficiency in payroll software and systems, such as SAP and/or ADP, with experience implementing and managing payroll systems.
• Excellent understanding of financial principles and the ability to reconcile payroll with financial records.

• Strong attention to detail and accuracy in managing complex payroll calculation data.
• Good organisational and time management skills to meet strict payroll deadlines and manage multiple priorities.
• Exceptional communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organisation.
• High level of integrity and ability to handle sensitive and confidential information.
• Proficiency in Microsoft Office applications, particularly Excel.
