Job Summary

The Assistant Manager (Policy and Plans) will play a pivotal role in providing comprehensive administrative and strategic support to the CEO, Board, and the organization. This role combines high-level administrative responsibilities with strategic oversight of policy development and planning processes, ensuring alignment with the organization’s mission and objectives. You will be responsible for the seamless functioning of the CEO and Board’s office while supporting the development, implementation, and operational evaluation of policies, plans, and processes aimed at enhancing organizational effectiveness.

Key Responsibilities
Administration Support
  • Provide executive secretarial support to the CEO and Board, including coordinating meetings, managing logistics, preparing agendas, and taking minutes.
  • Facilitate communication between the CEO, Board, and various departments to ensure the efficient flow of information.
  • Handle confidential correspondence, emails, and phone calls on behalf of the CEO and Board.
Bursary Administration & Organisation
  • Facilitate the administration of education bursaries.
  • Lead the organisation of interviews and workshops with the Board Committee.
  • Liaise with internal and external stakeholders to support and coordinate education programmes.
Policy & Planning Support
  • Assist in the development and review of policies and plans that align with the organization’s strategic goals.
  • Support stakeholder engagement and consultation processes to gather input and build consensus around new policies and plans.
Workplan & Project Management
  • Support the development and implementation of the secretariat's workplan, ensuring tasks are prioritized, deadlines are met, and resources are allocated efficiently.
Knowledge & Innovation Management
  • Assist in developing knowledge management strategies, including capturing, storing, and sharing best practices across the organization.
  • Facilitate knowledge-sharing forums and training sessions to foster a collaborative environment.
Reporting & Performance Metrics
  • Assist in preparing reports, including performance dashboards and key metrics for the CEO, Board, and other key stakeholders.
Qualifications and Experience
  • A strong Bachelor's degree in Arts, Science, Finance or Business Administration from a reputable university.
  • At least 2 years of experience in administration, executive secretarial support, strategic planning, or project management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant office software.
  • Proficiency in Tamil to engage with foreign staff.
  • Strong communication skills (written and verbal) with the ability to work independently and collaboratively.
  • Critical thinker with problem‑solving abilities, attention to detail, and adaptability.
  • Ability to handle sensitive and confidential information with discretion.
