We’re hiring a Transportation Administrative Assistant to Live. Work. Explore. at the south rim of the Grand Canyon!
Job Summary:
Provide administrative and guest service assistance to the Transportation Department.
The Details:
Position Type: Full-Time, Year-Round
Start Date: April 2025
Pay: $17.85
Schedule: Typical schedule is 40 hours, 5 days per week (may include weekends, evenings, and holidays)

Responsibilities
Department Office Duties & Responsibilities:
- Assist all guests, internal and external, in a polite and professional manner.
- Perform all necessary clerical and administrative duties and tasks for the Transportation Department.
- Maintain strict confidentiality of sensitive information while processing details on such topics as revenue, wages, job positions, hiring/terminating, disciplinary actions, and company or departmental changes.
- Generate and complete tracking on various spreadsheets and reports, compile data, maintain records for required paperwork for the Department.
- Assist the department managers as needed by conducting pre-screening interviews and tracking applications for vacant positions within the Transportation Department.
- Assist as needed to maintain, track and update training material for the Transportation Department.
- Order supplies for the department office and units through our approved vendors and the appropriate systems.
- Perform monthly safety inspections of the department office and assist the managers to track safety inspections and safety talk sign-in sheets.
- As needed, assist the department managers in processing employee reviews.
- Perform the monthly inventory of items staged for delivery to Phantom Ranch.
- Maintain positive and collaborative communications with all employees within the department as well as with the other departments.
- Maintain the company fleet vehicle files & registrations.
- Other duties as assigned.
Activities Desk Duties & Responsibilities:
- Assist all guests, internal and external, in a polite and professional manner.
- Sell and check in guests for in-park activities such as bus tours, mule rides and Phantom Ranch accommodations and services.
- Provide accurate information to guests regarding company offered activities and services as well as general park information.
- Handle all transactions with expediency and accuracy using the activities desk software.
- Adhere to all policies related to cash handling and security of funds.
- Complete end of shift responsibilities and deposits to ensure accuracy of guest accounts.
- Complete opening and closing side duties for each desk assignment.
- Work with the related areas, and businesses, on passenger counts for the various tours.
- Other duties as assigned.
Taxi Driver Duties & Responsibilities:
- Assist all guests, internal and external, in a polite and professional manner.
- Pick up and drop off passengers at desired locations.
- Collect, document and report accurate fares from all passengers according to department and money handling policies and procedures.
- Provide accurate information to guests regarding company offered activities and services as well as general park information.
- Conduct the required DOT pre-trip and post trip inspections of all assigned vehicles.
- Maintain appropriate fuel levels and cleanliness of all assigned vehicles.
- Adhere to all Xanterra South Rim L.L.C., National Park Service and Department of Transportation policies and regulations for transporting passengers.
- Obey all posted speed limits and all other traffic regulations.
- Other duties as assigned.
Qualifications
- Previous experience in an administrative setting.
- Previous experience with Microsoft Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- Ability to handle confidential material.
- Previous experience in a high public contact position.
- Good verbal communication skills with the ability to interact with a broad cross-section of guests.
- Strong attention to detail.
- Possess, or have the ability to obtain a valid Arizona Driver’s License, DOT medical card.
Physical Requirements
Occasionally stand, walk, sit, handle, reach outward & above shoulder, squat/kneel, bend, lift/carry and push/pull up to 50 lbs.
