Eramet Indonesia is an integral part of the Eramet. Its presence in Indonesia dates back more than 17 years, with nickel exploration investment in Central Halmahera, North Maluku, Indonesia. Purpose:
Implements processes of Office & Formalities management (i.e: formalities, travel management, rooster management) in his/her scope, follows the defined guidelines, respects deadlines and legislation, and ensures internal customer satisfaction.
Dimensions:
- The job holder collects the necessary documentation required and sends it to vendors for document processing.
- The job holder collaborates with vendors to arrange transportation and accommodations necessary for travel management.
- The job holder may either oversee the entire overhead management process (including formalities and travel management) for a specific entity or focus on specific aspects of overhead management (formalities only or travel management only), depending on the company's size and needs.
Complexity of the position:
- This position requires the ability to manage people outside the company/PIC from partners and also PIC from site to ensure employee travel seamlessly.
- Managing a large volume of documents and ensuring their accuracy can be challenging. Missing or incorrect documentation can lead to delays and complications.
- Handling last-minute requests or special requests can be challenging.
- Effective communication with candidates, employees, managers, and relevant stakeholders across different languages and time zones can be complex and requires strong interpersonal skills.
- Handling sensitive employee information and ensuring data privacy and confidentiality in accordance with various data protection laws.
- Pro-active, goal-oriented with excellent attention to detail.
- Excellent customer focus and able to consistently meet Eramet and its clients' needs.
- Effectively manages change to work tasks and the work environment, and assists others with adapting to change.

Main responsibilities:
- Collect the necessary documents and coordinate with vendors to ensure that formalities are completed within the required timeframe.
- Implement formalities in accordance with applicable laws and regulations.
- Maintain an up-to-date database of expatriate formalities.
- Ensure prompt handling of travel management tasks.
- Coordinate with relevant team members to stay informed about the employee roster.
- Respond to inquiries from employees and managers for information.
- Process invoices related to formalities and travel management within his/her scope.
- Not limited to help the office management at Jakarta Office.
Profile and experience:
- 1-3+ years of experience in travel management, employee rosters, or formalities is ideal.
- Expatriate formalities regulation: Experience with expatriate formalities regulation, such as visa and work permit applications, immigration compliance, and relocation assistance.
- Travel management: Experience with travel management tasks, such as travel policy development, travel booking, and expense reimbursement.
- Employee rosters: Experience with employee roster management and processes, such as scheduling, time tracking, and payroll.
- Reporting: Experience with generating and analyzing travel-related reports, such as employee travel patterns, expense trends, and compliance reports.
- Employment law: Knowledge of employment law and regulations related to travel and formalities.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
