Assistant Manager Events (all genders welcome) within our Marketing department at the Kia Europe Headquarters in Frankfurt/Main, Germany.
Job mission: The Assistant Manager within the Events team will play a pivotal role in supporting the Manager of the Events Team to create and deliver outstanding event experiences for the brand. This position involves managing the end-to-end process of event execution, from initial concept to post-event reporting. The role requires close collaboration with internal teams and external partners to ensure seamless coordination and flawless delivery of each project. As a key supporting figure, you will provide logistical and administrative assistance, maintain detailed event records, manage bookings and payments, and assist with creative decisions. Additionally, you will act as an ambassador for the brand, representing it with professionalism and enthusiasm to all event guests. Your ability to organize, communicate, and execute will be essential in making every event a success while strengthening the brand’s presence.
Your Responsibilities
- Event Concept Development & Execution: Support the development and implementation of creative and innovative event concepts for both hybrid and in-person events, including trade shows (passenger cars and LCV segments), product launches, press events, and corporate functions.
- Project Management: Assist in managing all aspects of event planning, including budget management, resource allocation, and timeline adherence. Ensure all elements of the event are aligned with the brand’s objectives and vision.
- Stakeholder Coordination: Act as the primary point of contact for internal departments (e.g., Marketing, PR, and Product teams) as well as external vendors (e.g., venues, catering, suppliers, and logistics partners) to ensure smooth collaboration and the successful delivery of events.
- Creative Support: Assist in creative decision-making for event concepts, themes, and designs, ensuring consistency with the brand’s image. Contribute to brainstorming sessions to propose innovative and engaging event experiences.
- Event Logistics & Administration: Provide logistical and administrative oversight/support, including managing venue bookings, coordinating catering services, overseeing event setup and breakdown, and ensuring all technical and operational needs are met.
- Budget & Resource Management: Support in managing event budgets, ensuring all expenses are tracked and kept within approved limits. Help with financial documentation, such as invoices and payments, and provide updates on budget status.
- Vendor & Supplier Relations: Help establish and maintain relationships with external vendors, ensuring high-quality services are delivered on time and within budget. Ensure all administrative tasks are performed in a timely manner.
- Event Documentation & Reporting: Maintain comprehensive records of all event-related activities, including timelines, budgets, contracts, and post-event feedback. Assist in the preparation of post-event reports to assess event success and identify areas for improvement. This role also provides visibility to Senior Management via regular project updates up to President level.
- Brand Representation: Act as an ambassador for the brand during events, ensuring that all guest interactions reflect the company’s values and professionalism. Engage with event attendees, answer questions, and ensure an outstanding experience for all guests.
- Trend Monitoring: Stay informed on industry trends, emerging technologies, and best practices in event management to propose fresh ideas and enhance the impact of future events.
- Risk & Issue Management: Assist in identifying potential risks and issues during the event planning process, helping to implement proactive solutions to ensure the smooth execution of events.
Your Talents
- Educational Background: Bachelor’s degree in business administration, Event Management, or a related field.
- Experience: Minimum of 3 years in project management or event planning, preferably within the automotive or agency sector.
- Project Management Expertise: Demonstrated ability to manage multiple projects concurrently, ensuring timely delivery and high-quality outcomes.
- Strong Communication & Interpersonal Skills: Ability to build and maintain effective relationships with internal teams and external stakeholders. A proactive, "can-do" attitude is essential, along with the skill to manage expectations and resolve challenges professionally.
- Technical & Creative Balance: Understanding of both technical and creative aspects of event production, with the ability to seamlessly integrate innovative concepts with practical execution.
- Proficiency in Event Management Tools: Experience with event management software and digital tools, staying current with industry trends and technologies. Proficient use of Microsoft office tools is essential.
- Multilingual: Fluent in English (both written and spoken); proficiency in German or other European languages is an advantage.
- Team Collaboration: Strong team player with a reliable, confident, and composed demeanor, particularly when working under pressure.
- Budget & Organizational Skills: Proven ability to manage budgets effectively and meet administrative deadlines with strong attention to detail and organization.
- Passion for Event Design & Production: A genuine interest in both the creative and logistical elements of event production, ensuring flawless execution.
- Travel Flexibility: Willingness to travel up to 40% of the time, with a valid driver’s license for local travel.
