This global finance entity currently has an opportunity for a seasoned Business Support professional to join the Dubai office as an Executive Assistant. Supporting the Director and the Vice President of Distribution, this role is pivotal to the success of the regional team.
The role incorporates classic PA duties such as maintaining the Executives' appointment schedule by planning and scheduling meetings, conferences, and travel, as well as looking after key clients and customers in person or on the telephone. The role will maximize time for the Director & VP by planning ahead and pre-empting issues before they have arisen and organizing, prioritizing, and achieving on schedule. Extensive diary and travel management, inbox management, minuting senior-level meetings, as well as preparing all meeting literature, expenses, assisting with small projects, and general administration are all elements of this role. Effective communication with internal (e.g., Compliance, Marketing, Fund Administrators) and external parties (clients, Affiliates) is essential. In addition, the role holds responsibility for coordinating the due diligence process by assisting in the collation of relevant documentation, liaising closely, following up on, and working with the required units/functional support and the clients to facilitate the seamless closing of deals. Also, maintain an up-to-date CRM database including meeting notes, call notes, roadshow updates, etc.
Capability, knowledge, and experience are essential, as is someone who can demonstrate competence in a senior PA role within a professional services, finance, or banking organization. Exemplary secretarial skills, attention to detail, as well as a professional approach and discreet manner are all key, as are strong business-writing, presentation, and reporting skills.
