We are seeking a Part-Time Administration Assistant to join our dynamic team.
This role is essential to ensure the smooth operation of our System Integration Services at Lancaster Park in Burton upon Trent.
This is a new role that is expected to be part-time, based on approximately 20 hours a week, with flexibility available.
The role might be suitable for somebody who needs to work around school hours, with a 10am start and 2:30pm finish potential working hours.
Key Responsibilities
- Greeting visitors, issuing in & out their security tag, directing to relevant area or member of staff.
- Making guest drinks.
- Answering telephone and transferring calls, taking and distributing messages.
- Open post/Receive Deliveries and take to the appropriate person.
- Ordering visitors' lunches or buying items (Sandwiches etc.) and preparing lunches.
- Taking documents/parcels to the Post Office as required.
- Buying kitchen/bathroom supplies - milk, coffee, tea, dishwasher tabs, air fresheners, loo rolls, kitchen rolls.
- Stationery orders.
- Drinking water orders.
- General office duties:
- Booking appointments, air conditioning service, fire alarm service, emergency lighting checks, fire equipment checks, pest control visits, etc.
- Taking electricity readings - read monthly & confirm to Electricity Supplier.
- Moving waste bins outside every Monday and confirming with supplier when offices are closed for bank holidays, etc.
- Ensuring staff booked holidays are on the calendar and filing hard copies of holiday confirmations.
- Ensuring all staff timesheets are fully completed by the end of the month.
- Booking/cancelling/amending rooms for staff on site (approximately 15 a month).
- Intranet administration - Timesheets/Holidays, etc.
- Arranging for payments for various items/orders as requested by engineering staff, such as Amazon, training, and proformas, etc.
- Arranging company events such as Christmas Party and anniversaries, etc.
- Arranging for services/MOTs/repairs/tax on company vans.
- Maintaining company vehicle insurance information records.
- Maintaining records for employee driving licenses with the group.

- Strong numerical skills and attention to detail.
- Competency in Microsoft Office applications, such as Outlook, Word, and Excel.
- Excellent organisational and communication skills.
- Previous experience in an office-based administration role would be advantageous but not essential.
- Own travel essential owing to out-of-town location.
