Junior office assistant

A very well established firm in Dubai is looking for a Junior Office Assistant to join their team.
This person will be supporting the office manager, the CEO, and the accountant.
Main responsibilities would include but are not limited to:

1. Arrangement of meetings/conference calls/interview schedules and management of calendar
2. Organise complex itineraries for trips
3. Good knowledge of travel networks, airlines, hotels, train systems, cars etc.
4. Visa arrangements
5. Act as point of contact for teams, dealing efficiently and politely with requests from clients and other departments
6. Organise room bookings and catering for internal and external events
7. Arranging and booking cabs, hotel bookings, providing currency etc.
8. Organise conference calls/video conferences for the entire team
9. The ability to use initiative to resolve expense-related issues when they arise
10. Preparation and processing of complicated invoices to meet payment deadlines, able to use initiative to resolve invoice-related issues when they arise
11. Provide intermediate to advanced levels of Word, Excel & PowerPoint for presentation material preparation
12. Prepare, complete, and distribute materials as necessary
13. Maintain confidentiality on all aspects of workload

As Junior Assistant, you must have the following skills and experience:

1. Previous experience as an Assistant (minimum 6 months)
2. Excellent understanding of urgency
3. Previous Accounting experience
4. Arabic speaking is an advantage
5. Ability to work independently
6. Ability to organise and prioritise complicated travel
7. Excellent attention to detail
8. Able to manage stress, personable, self-confident
9. Ability to anticipate needs, particularly for repeated tasks
