ROLE PURPOSE:
The Registrar and Customer Relationship Officer is responsible for guiding prospective students through the enrolment process while ensuring an exceptional customer experience. This role involves proactive student outreach, consultative sales, and admissions assistance, providing tailored guidance to help students make informed decisions about their education. The officer will manage student records, maintain CRM systems, and collaborate with internal departments to ensure a seamless onboarding experience. Additionally, the role encompasses administrative duties, customer service, and student engagement, contributing to a positive learning environment. By liaising with academic teams, admissions, and student services, the officer ensures that service level agreements (SLAs) are met, student satisfaction remains a priority, and enrolment targets are achieved.
ROLE and RESPONSIBILITIES:
Student Outreach & Sales Support:
- Conduct proactive outreach to prospective students through phone, email, and other communication channels, providing detailed information on programs, admissions criteria, and benefits.
- Listen to student needs and educational goals, offering tailored solutions that align with their career aspirations.
- Maintain deep knowledge of programs, courses, and industry trends to effectively communicate the value proposition to prospective students.
Admissions & Application Assistance:
- Guide students through the application and enrolment process, ensuring completion of necessary paperwork and meeting admission requirements.
- Follow up with applicants to address questions and track their progress, maintaining accurate student records in the CRM system.
- Handle the admissions process, including data input into the CLASS system, creation of price items, and monitoring progress through reports.
Lead Management & Sales Targets:
- Qualify and prioritize leads based on interest and readiness to enrol, aiming to meet individual and team enrolment targets.
- Prepare regular reports on sales activities, conversion rates, and areas for improvement.
- Follow up leads using Zoho CRM, working closely with our centralized direct sales team.
Customer Relationship Management & Student Support:
- Build and maintain positive relationships with students, providing ongoing support to ensure a seamless onboarding experience.
- Ensure student satisfaction by addressing inquiries, providing guidance, and handling complaints or refund requests in a timely manner.
Administrative & Collaboration Support:
- Assist with administrative tasks such as collecting student attendance data, maintaining up-to-date records, and preparing welcome packs for new students.
- Work closely with internal teams (Admissions, Academic Departments, etc.) to ensure smooth student journeys from enquiry to enrolment.
- Support student recruitment efforts, including walk-in inquiries and partner meetings, and assist with pre-arrival and orientation information.
- Be the first point of contact for prospective customers that visit EP Riyadh, welcoming them as they enter the premises, with support from colleagues.
ESSENTIAL QUALIFICATION, EXPERIENCE AND SKILLS:
Experience:
- Proven experience in inside sales or telesales, preferably in the education sector.
- Minimum 2 years of relevant experience is required.
- Proficiency in using CRM software and other sales tools.
- Relevant experience within the Education sector (desirable)
Skills:
- Fluent in English and Arabic (essential)
- Excellent administrative and organisational skills
- Professional telephone manner combined with a high level of spoken and written English
- Excellent communication skills
- Excellent team worker with the ability to negotiate and compromise whilst taking into account the views of others
- Accuracy, attention to detail and a methodical approach
- Ability to multi-task and deliver against a number of priorities
- Good working knowledge of Microsoft Office packages
- Ability to find and present solutions to achieve customer satisfaction
- Ability to demonstrate international and cultural sensitivities
