1. JOB PURPOSE
To act as the first point of contact for all clients, visitors, and employees, ensuring that the reception area is professional, welcoming, and functional. The Front Desk Receptionist is responsible for managing front office operations, handling inquiries, and supporting day-to-day administrative tasks within the company.
2. KEY ACCOUNTABILITIES
- Greet visitors and clients in a professional and friendly manner.
- Answer direct phone calls, take messages, and provide relevant information.
- Schedule and confirm appointments, meetings, and other company events.
- Coordinate office activities and operations to ensure efficiency.
- Handle client inquiries and complaints, providing prompt solutions or directing them to appropriate departments.
- Maintain the office reception area, ensuring cleanliness, order, and a welcoming environment.
- Manage the company’s email system and ensure timely responses to queries.
- Assist with administrative duties, including document preparation, filing, and data entry.
- Maintain office supplies and manage inventory.
- Coordinate deliveries, mail handling, and courier services.
- Assist with the organization of office events, meetings, and conferences.
- Ensure that safety procedures are followed at the reception area and that visitors are appropriately logged in and out.
- Assist in various other administrative and Human Resources tasks as needed by the team.
3. KPIs & MEASURE OF SUCCESS
Technical Skills
- Reception Efficiency: Quick response time to phone calls and visitors, ensuring no delays or missed appointments.
- Organizational Skills: Effective multitasking, managing schedules, and prioritizing tasks.
- Communication: Ability to effectively convey information to visitors, clients, and employees.
- Customer Satisfaction: Providing professional and courteous service to visitors and clients, ensuring a positive experience.
- Problem Solving: Ability to resolve any issues that arise promptly and effectively.
4. QUALIFICATIONS
- Bachelor’s degree, High School Diploma or equivalent (additional qualifications in office management, hospitality, or customer service preferred).
- Strong command of the English language (Arabic knowledge is a plus).
- 2-5 years of experience in a front desk or receptionist role, preferably within real estate or hospitality.
- Proven ability to manage multiple tasks efficiently and handle a high-volume work environment.
- Excellent verbal and written communication skills.
Internal Relationships
Works closely with the Office Manager, HR, and other administrative teams within the company.
External Relationships
Works externally with clients, visitors, contractors, and service providers.
