Job description

Responsibilities:

  1. Maintains CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  2. Produces documents, briefing papers, reports, and presentations.
  3. Flexible in dealing with various tasks (reception, executive assistant, office management).
  4. Performs secretarial duties such as answering phone calls, making appointments, typing letters, and taking minutes.
  5. Screens phone calls, enquiries, and requests, and handles them when appropriate.
  6. Undertakes all executive support work required to help discharge the CEO's duties efficiently and effectively.
  7. Organizes and attends meetings, ensuring the CEO is well prepared.
  8. Meets and greets all visitors.
  9. Accompanies the CEO in meetings and represents the CEO in his absence.
  10. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  11. Conserves the CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  12. Manages internal and external communications to ensure flawless scheduling.
  13. Works with the global team based outside of U.A.E. on a daily basis.
  14. Prepares materials for conference calls and meetings.
  15. Drafts and edits documents to ensure accurate and effective communication.
  16. Supports the CEO and team through administration work while adhering to strict confidentiality.
  17. Handles communication flows and manages travel arrangements.
  18. Manages calendar by arranging meetings according to the CEO’s preferences.
  19. Assists in the organization of company events.
  20. Proactively manages daily work to provide excellent support, consistently re-planning and prioritizing work as required.
  21. Organizes seminars and workshops.
  22. Maintains confidentiality on all work issues.

  1. Significant experience in an international environment.
  2. Exceptional communication and interpersonal skills, with a strong client service orientation.
  3. Excellent time management skills and ability to multitask.
  4. Strong presentation, organization, communication, and time management skills.
  5. Articulate, highly professional, and possesses strong presentation skills.
  6. Excellent attention to detail, well organized, dedicated, trustworthy, and willing to work longer hours when required.
  7. Strong team player with the ability to work in a multicultural environment.
  8. Excellent written and verbal communication skills, detail-oriented, and highly organized.
  9. Ability to anticipate the CEO's needs and proactively support these needs.
  10. Must function effectively and efficiently in a fast-paced professional environment.
  11. Strong commitment to delivering excellence.
  12. Ability to interact and communicate with a wide range of multicultural people at different levels.
  13. Efficient planner and organizer to show productivity and quality in the office.
  14. Ability to manage multiple tasks simultaneously.
  15. Ability to make day-to-day decisions and meet deadlines.
  16. Ability to work under pressure.
  17. 8-10 years of experience reporting to Executive/Director level.
