We have a great career opportunity for you to join Jim Pattison Toyota Victoriaas aShop Dispatcher! In this position, you will be responsible for the efficient assignment of work tasks to technicians, ensuring jobs are completed on time, accurately, and profitably. You will play a critical role in balancing the workload, managing shop flow, and supporting our Express Lube Program. This position requires excellent organizational skills, strong communication, and the ability to work in a fast-paced environment.

Key Responsibilities:

  • Monitor the ERO system in CDK to ensure jobs are being dispatched to the shop correctly and on time.
  • Assign repair orders (ROs) to technicians based on skill level, workload, and priority.
  • Monitor shop capacity and ensure a steady flow of work to maintain efficiency.
  • Oversee the Express Lube Program, ensuring qualifying jobs are completed within the 45-minute target.
  • Track and report on technician productivity, efficiency, and flagged hours.
  • Coordinate with service advisors to ensure realistic ETA promises to customers.
  • Work closely with the parts department to verify parts availability before dispatching major jobs.
  • Ensure timely completion of waiter appointments, shuttle customers, and priority jobs.
  • Manage carryovers and balance the daily shop load effectively.
  • Maintain a fair and efficient job distribution to ensure a positive team environment.

A Day in the Life:

A typical day as a Shop Dispatcher starts early by reviewing the daily schedule, technician availability, and pending repair orders. You’ll work closely with service advisors to understand job priorities and set realistic timelines for customers. As vehicles arrive, you’ll assign jobs to the right technicians, ensuring a steady workflow and maximizing efficiency. Throughout the day, you’ll monitor technician productivity, keeping an eye on flagged hours and adjusting workloads as needed. You’ll track the progress of Express Lube jobs, ensuring they meet the 45-minute completion goal and resolve any bottlenecks in the shop. Communication with the parts department is key—verifying part availability before major jobs start prevents unnecessary delays. As the afternoon progresses, you’ll oversee vehicle handovers, manage carryover jobs, and ensure all ROs are completed accurately. Before the day ends, you’ll review shop performance metrics, identify workflow improvements, and prepare for the next day to keep the service department running smoothly.

Qualifications & Skills:

  • Previous experience in a shop dispatching or service department role preferred.
  • Strong knowledge of automotive repair operations and technician skill sets.
  • Excellent organizational and multitasking skills in a fast-paced setting.
  • Ability to prioritize work effectively to maximize shop efficiency.
