Our client is a recognised resource in the design and installation of data, voice and video solutions and they are looking for a General Administrator / Health & Safety Administrator to join their team as soon as possible.
JOB DESCRIPTION:
The successful candidate will provide essential administrative support across various departments, with a focus on maintaining and improving general admin within the organization. This role will be pivotal in ensuring that all health and safety policies and procedures are followed and in providing general administrative assistance to enhance operational efficiency.
MAIN DUTIES & RESPONSIBILITIES:
General Administration:
- Provide day-to-day administrative support to various departments
- Manage Personal Protective Equipment supplies, including ordering, inventory control, and organization
- Answer / direct phone calls, respond to emails, and handle inquiries
- Organize and schedule meetings, appointments, and travel arrangements
- Assist in the preparation of reports, presentations, and other documents
- Maintain accurate and organized filing systems, both physical and digital
- Support with data entry and processing tasks as required
- Collaborate with other team members to ensure smooth office operations
- Manage WhatsApp groups and compile updates according to information provided
- Draw site plans according to client needs and expectations
- Ensure all stock received is scanned in and recorded on company sheets
- Overtime arrangements at various sites
- Arrange access to various sites for teams
Health & Safety Administration:
- Assist in the implementation and maintenance of the company’s health and safety policies and procedures
- Maintain up-to-date records of safety inspections, audits, risk assessments, and incident reports
- Coordinate the preparation and delivery of health and safety induction training for staff
- Ensure compliance with health and safety regulations and best practices
- Manage health and safety documentation, including accident/incident reports, safety meeting minutes, and training certifications
- Conduct routine inspections of workplace environments to identify hazards and ensure safety protocols are adhered to
- Liaise with external agencies for health and safety audits, inspections, and certifications
- Compile health and safety client specification files
- Ensure that all the mine’s health & safety records are up to date
- Ensure all personal protective equipment is documented and kept up to date
Other Duties:
- Undertake additional administrative tasks or special projects as requested by management
- Assist with coordinating company events and activities
- Participate in team meetings and provide updates
- Answer the company landline phone
EDUCATIONAL REQUIREMENTS:
- Matric
- Relevant Administrative or Health and Safety qualification
EXPERIENCE AND SKILLS REQUIRED:
- Proven experience in administrative roles
- Experience with health and safety audits, risk assessments, and safety management systems
- Financial background
- Knowledge of site drawings and plans
- Driver’s license
- Fluent in speaking English and Afrikaans
- Strong knowledge of health and safety regulations and best practices
- Excellent organizational and multitasking skills, with attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and as part of a team
- Strong problem-solving skills and the ability to handle confidential information
- A proactive attitude and willingness to learn and take on new responsibilities
- Ability to handle sensitive information with confidentiality
- Delivers service and completes tasks according to specified and agreed deadlines
