The Directorate of Maternity, Neonates and Gynaecology are seeking to appoint an Administration and Performance Manager.

The postholder's primary function will be around waiting list management, scheduling and pathway coordinating. The successful applicant will also oversee the day-to-day management of the administrative functions across the directorate.

Previous experience of line managing staff, ideally in an NHS administrative function will be a distinct advantage.

Main duties of the job

This role offers variety and a wide range of responsibilities across our different services.

The post holder will be expected to monitor and manage scheduling, capacity and demand, and performance. Also strict monitoring of pathways, RTT targets, cancer targets and diagnostic timescales.

The role involves working closely with the medical secretaries to facilitate timely appointments for their patients.

There will be a need for close liaising with Performance and Information Services teams to ensure adequate reporting and data availability to allow the Directorate's RTT and diagnostic pathways to be maintained.

There will be a need for development of action plans for recovery where necessary with the Directorate Manager and ensuring they are implemented by the admin teams.

The post holder will manage appraisal, capability and attendance management.

Job responsibilities

  1. To provide day-to-day operational support and line management to Medical Secretaries, Administration Assistants/Receptionists and any other junior clerical staff within the Directorate, ensuring delivery within appropriate Trust policies and procedures.
  2. To ensure co-ordination and effective functioning of the administration team.
  3. To review administrative systems on an ongoing basis with the Directorate Manager, implement change and improve effectiveness/efficiency across the administrative function.
  4. To develop and maintain an effective and quality secretarial service to Consultants and their teams, acting as a pivotal role for all communication with patients and professional health colleagues within the multi-disciplinary team, internal departments and external agencies as necessary, to ensure continuity of patient care.
  5. To lead on the implementation and ongoing management of Clinic on the Day, Referral to First Appointment and all aspects of the Trust's Scheduling Programme.
  6. To be one of the Directorate's Super Users of the Meditech System, taking responsibility for any future upgrades, testing of the system and the training and competence of your admin teams.
Person Specification
Qualifications
  • AMSPAR Diploma or OCR/RSA3 plus significant experience in a medical admin role.
  • GCSE English or equivalent.
  • European Computer Driving License or working towards.
Experience
  • Recent experience in an NHS admin role.
  • Experience of managing staff, chairing meetings, training and appraisal processes.
  • Experience of working in the NHS.
  • Experience as a medical secretary.
