About the Role: We are seeking a highly organized and proactive Senior Executive & Personal Assistant to support a French entrepreneur based in Rio de Janeiro. This role offers an exciting opportunity to work closely with an international business owner, helping streamline operations and ensure everything runs smoothly both in business and personal life. This is not just a traditional assistant role! It’s a dynamic, hands-on position where you’ll be involved in business coordination, personal assistance, lifestyle management, and problem-solving. If you love taking ownership, staying one step ahead, and making sure everything is in order, this is the perfect role for you. You will be a key support figure in managing schedules, communications, travel arrangements, and day-to-day operations, ensuring the principal can focus on business growth and strategic priorities. This position is ideal for someone who enjoys variety, values discretion, and thrives in a fast-paced, international environment.

What You’ll Be Doing:

  1. Executive & Business Support: Manage the entrepreneur’s inboxes and communications, ensuring messages are prioritized and responded to efficiently. Coordinate business schedules, appointments, and projects, keeping everything on track. Ensure follow-ups are completed, liaising with team members, suppliers, and service providers. Assist with research, organization, and document preparation.
  2. Personal & Lifestyle Management: Oversee personal schedules, errands, and key lifestyle arrangements. Organize domestic and international travel, including detailed itinerary planning. Manage household matters, pet care, and coordinate any required services. Ensure personal tasks such as medical appointments, wellness routines, and key lifestyle commitments are managed.
  3. Communication & Coordination: Act as the first point of contact, ensuring the right people get the right information at the right time. Filter and manage WhatsApp and other messaging platforms, ensuring efficient communication. Draft and respond to emails and other correspondence professionally.
  4. Problem-Solving & Flexibility: Handle last-minute changes and unexpected challenges, keeping everything running smoothly. Find creative solutions to day-to-day problems, ensuring minimal disruptions. Proactively anticipate needs and take initiative in daily operations.

What We’re Looking For:

  1. High experience in a similar role (Executive Assistant, Personal Assistant, Lifestyle Manager, or Operations Coordinator).
  2. Highly organized and proactive with strong attention to detail.
  3. Excellent communicator, both written and spoken, in English & Brazilian Portuguese (French or Spanish is a plus!).
  4. Discreet and professional, able to handle sensitive matters with confidentiality.
  5. Comfortable with technology, including email and productivity tools.
  6. A fast thinker and problem solver, able to manage tasks independently and adapt to last-minute changes.
  7. Positive and flexible, with a can-do attitude and willingness to take on diverse responsibilities.
