About this position

We are looking for a highly motivated professional to join the Protocol Office team. The Office of Protocol (EXA/EXC/PRO) is responsible for planning, organizing, and executing events and activities at the IDB Headquarters in Washington, D.C., and in other member countries of the Bank. It advises the different Bank departments and units in matters related to protocol and ceremonial, guaranteeing the proper application of international protocol rules. It also administers the policies of the use of Bank symbols and corporate identity, and the norms regulating Representation Expenses and the use of the Executive Dining Rooms.

What you’ll do

Under the overall direction of the Chief of the Protocol Office and the direct supervision of IDB Country Representative in Brazil, you will collaborate in the planning, organizing, and executing of official meetings and events at IDB Country Office in Brazil and other activities held at IDB Headquarters in Washington, D.C., or in other member countries.

This includes:

  1. Assist in the planning and organization of ceremonial aspects of official meetings and events.
  2. Guide in the observance of the order of precedence at all official events.
  3. Draft protocolary correspondence including verbal notes with country members, States, and embassies.
  4. Prepare, edit, and revise invitations and general correspondences.
  5. Contribute to the preparation of executive summaries, bios, minute-by-minute programs, scripts, and talking points.
  6. Greet and escort VIP guests, and coordinate with IDB Security their arrival to expedite their access to IDB’s facilities.
  7. Keep documents up to date, such as diplomatic lists, head of states and head of governments lists.
  8. Prepare and update guests’ databases related to official events, as well as revise invitations and general correspondences.
  9. Contribute to the updating and implementation of policies related to the Representation of Expenses of officials.
  10. Collaborate to the generation of key indicators to measure the efficiency of services provided by the Protocol Office.

What you'll need

  1. Education: Bachelor’s degree in Social Sciences, Political Science, or International Relations, or other related fields. A Master’s degree is preferred.
  2. Experience: At least five years of relevant professional experience. Effective interpersonal, management, and negotiation skills validated through successful interaction with stakeholders. Proven ability in team collaboration.
  3. Languages: Proficient in Portuguese and English. A working understanding of Spanish and/or French is desirable.

Requirements

  1. Citizenship: You are either a citizen of Brazil or a citizen of one of our 48-member countries with residency or legal permit to work in Brazil.
  2. Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration

Staff: National staff contract, 36 months initially, renewable upon mutual agreement.
