Job Title: Intermediate Administrative and Finance Coordinator

Our client is seeking an Intermediate Administrative and Finance Coordinator to join our team. The ideal candidate will be highly organized, detail-oriented, and able to multitask in a fast-paced office environment. This individual will play a key role in ensuring the smooth operation of our office and providing support to various departments.

Responsibilities

  1. Administrative Support:
    1. Manage day-to-day administrative operations, ensuring smooth workflow within the office.
    2. Prepare and maintain records, files, and documents related to administrative operations.
    3. Coordinate office supplies inventory and place orders when necessary.
    4. Maintain office equipment and coordinate repairs as needed.
    5. Support in organizing events, workshops, or company functions.
  2. Financial Management:
    1. Assist in budget preparation and monitoring by tracking expenses and financial transactions.
    2. Process invoices, receipts, and payments, ensuring accurate documentation and timely processing.
    3. Maintain financial records, including accounts payable/receivable, petty cash, and bank reconciliation.
    4. Prepare financial reports (e.g., balance sheets, profit and loss statements, and monthly reports).
    5. Ensure compliance with organizational financial policies and procedures.
    6. Monitor financial performance and provide recommendations for cost-saving initiatives.
    7. Support external audits by providing required financial data and documentation.

Requirements

  1. Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or equivalent work experience).
  2. Minimum of 2 years of experience in administrative or finance-related roles.
  3. Strong knowledge of financial management and accounting principles.
  4. Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and financial software (QuickBooks, Xero, etc.).
  5. Excellent organizational and time-management skills with the ability to prioritize tasks.
  6. Strong attention to detail and problem-solving abilities.
  7. Ability to handle sensitive information with confidentiality and discretion.
  8. Excellent written and verbal communication skills in English.
  9. Knowledge of relevant financial and administrative regulations.
