IBM Event Management - Japanese Speaking in PETALING JAYA, Malaysia
Introduction
An Event Manager owns and leads the delivery tasks required for deploying classroom and virtual learning events, providing coordination and management of logistics, acting as the key focal point for learners & vendors.
Key responsibilities:
- Event Planning & Set Up
- Sourcing internal & external venues or organising virtual support
- Create events in Event Management tool
- Booking/ confirming tutors & logistics/ materials
- Raise Purchase Orders to cover costs
- Connect with stakeholders to understand course requirements.
Pre-Event Support
Provide regular status updates on course logistics and enrolments, proactively raising key milestones, challenges etc to mitigate risk.
Event Execution
Provide On site support for selected F2F events, where required.
Post-Event Support
Closing roster & event in EM tool.
Other
Few EMs, provide administrative support and maintenance to the Global Associate Program Portal and Digital Credentials.
Transformation Ideation & Execution: propose innovative ideas for eliminating, simplifying and automating processes to drive efficiency and improvement. Participate in projects when required.
Your role and responsibilities
To own, manage and deliver event logistics for Classroom and Virtual events, to include:
- Sourcing internal and/or external resources of Instructors and/or venues, as per course requirements and budget guidelines, review options and provide recommendations to stakeholders - with high focus on cost optimization and effectiveness.
- Set up event classes in IBM Event Management Tool per client’s needs.
- Monitor and manage participant enrolments (to achieve maximum capacity where possible for each event), raising any low enrolments in a timely manner.
- Learner Management - provide advice to potential participants /learners regarding courses, logistics, materials etc.
- Prepare and distribute, where required, event communications e.g. invites, joining instructions and tutor briefs for designated courses.
- Responsible for booking Venue and Provide remote and/or on-site support for Face-to-Face events, if required subject to management approval.
- Attend regular calls with aligned team and stakeholders to understand course requirements, provide regular status updates on course logistics and course attendance, proactively raising key milestones, challenges etc to mitigate risk.
- Manage external payment process associated with offerings as required, ensuring Bypass prevention (manage all procurement related tasks including processing Buy@IBM Carts, Purchase Orders; perform invoice verification, and highlight anomalies).
- Manage internal payment process associated with offerings as required.
Required technical and professional expertise
Required Qualifications:
- Strong communication skills, both written and verbal - Japanese, English. Having Chinese language will be an added advantage.
- Business Stakeholder Management, high customer relationship skills.
- An efficient multitasker, able to take work direction from multiple sources and prioritize, whilst staying calm under pressure.
- Self-motivating, able to work alone and be a team player at the same time.
- Project Management skills (Milestone planning /management).
- Problem solving capability and decision-making skills. Able to present clear conclusions and recommendations, with data to defend them, whilst showing creativity in solutions when required.

- Technical Expertise: Basic knowledge in Microsoft Excel, Microsoft Teams & Slack communication tools would be added advantage.
Preferred technical and professional experience
Prior experience with the following Tools: Event Management Tool, Instructor Booking Tool, Payment vehicle Tools.
