Job Description

We are seeking an experienced and organized Project Assistant to join our team. As the first point of contact, you will be responsible for providing exceptional customer service and ensuring the smooth operation of our office. The ideal candidate will have a background in customer service, with a strong focus on administrative tasks and office management. Responsibilities:
  1. Assist managers and support staff in a professional and friendly manner.
  2. Manage field workflow, including answering phone calls, responding to emails, and handling correspondence.
  3. Experience with Microsoft Excel is required; systems are based around Excel.
  4. Utilize computer systems to maintain accurate and up-to-date records, including appointments and billing information.
  5. Coordinate and schedule inspections, appointments, meetings, and events.
  6. Assist with meetings and educational on-site training exercises.
  7. Generate educational and training materials to disperse to trainees.
  8. Provide meeting minutes for in-person and conference calls.
  9. Perform various administrative tasks, such as responding to correspondence, organizing data, and data entry.
  10. Maintain a clean and organized office environment, including restocking supplies.
  11. Develop and implement efficient office procedures and systems to improve productivity and efficiency.
  12. Handle confidential and sensitive information with discretion and professionalism.
  13. Assist with office management duties, including ordering office supplies and managing inventory.
  14. Provide exceptional customer service by addressing concerns and resolving issues promptly and professionally.
Requirements:
  1. High school diploma or equivalent required; administrative experience or a related field is highly preferred.
  2. Strong knowledge of customer service principles and practices.
  3. Experience in a receptionist role, with proficiency in front desk operations.
  4. Ability to learn and use computer systems, including Microsoft Office and scheduling software.
  5. Excellent time management skills and the ability to prioritize tasks.
  6. Organizational skills with the ability to multitask and manage multiple projects simultaneously.
  7. Strong communication and interpersonal skills.
  8. Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  9. Physical ability to sit for extended periods and lift or move moderate weights.
  10. A valid driver's license with a clean driving record is required.
  11. Flexibility in schedule is required. Training will be provided but is limited for hours available for direct training. Please provide information regarding availability to prevent scheduling conflicts.

Job Type: Full-time

Pay: $18.00 - $19.00 per hour

Schedule:

  • 8 hour shift
