Job description

Job Description

Operation Wallacea is a UK-based conservation organisation that has been running research expeditions around the world for nearly 30 years. During this time, it has published almost 700 academic papers, described more than 80 new species to science, and provided high-quality environmental education and research experiences to thousands of school and university students globally.

We are looking for an Operations Manager with site management responsibilities, ideally with an interest and/or background in environmental sciences or conservation.

This role will focus on both expedition site management and ensuring that participants receive high-quality support in logistics, safety, and problem-solving when arranging travel to our research sites. You will be primarily involved in supporting the diverse needs of programme participants, with opportunities in other aspects of the organisation as well. Support and training will be provided. There will be opportunities to work on overseas expeditions during the summer and other times of the year.

This is a full-time position (9:00 AM - 5:30 PM) with a hybrid working model combining remote work and time at our headquarters in Lincolnshire (typically three days remote, two days in-office).

Responsibilities include:

  • Developing a close working relationship with research collaborators and in-country partners – assisting scientists with data collection, equipment set up and troubleshooting field challenges
  • Budget management – managing expedition budgets, tracking expenses and compiling post season reports
  • Risk management and safety – ensuring health and safety protocols are followed, conducting risk assessments and managing emergency procedures
  • Recruiting and managing your own site/location, including hiring staff, overseeing logistics, and ensuring smooth day-to-day operations
  • Day to day field staff and volunteer management
  • Preparing travel documents
  • Handling travel emergencies and problem solving – handling unexpected challenges such as extreme weather, medical emergencies or logistical delays
  • Arranging transportation
  • Managing key contacts and group booking details
  • Managing travel itineraries
  • Booking flights and accommodation
  • General administration (answering telephones, mass mailings, raising invoices, maintaining records and documentation)
  • Designing and updating company materials (presentations, reports etc.)
  • Assisting with website design and management (WordPress)
  • Proficiency using Google Drive, Sheets, Docs, and Teams management tools
