Job description

About Grove Gallery

Grove Gallery is a pioneering art gallery based in London, with our headquarters in Bishop’s Stortford. We work closely with private collectors, investors, and luxury hotels both in the UK and internationally, curating exceptional art collections that elevate the spaces they inhabit. Our collaborations extend to high-end hospitality brands and businesses seeking bespoke art solutions. As a growing and ambitious gallery, we are passionate about making contemporary art more accessible while maintaining a strong connection to luxury and exclusivity.

The Role

We are seeking an experienced and highly organised Executive Assistant to support the Founder and Partner of Grove Gallery. This is a dynamic and multifaceted role that goes beyond traditional administrative duties. The successful candidate will be instrumental in ensuring the smooth operation of the business, acting as a key point of coordination and communication between leadership, clients, and stakeholders.

Key Responsibilities:

  • Diary & Schedule Management: Oversee complex calendars, scheduling meetings, appointments, and travel arrangements.
  • Meeting Coordination: Attend meetings with the Founder and Partner, take comprehensive notes, and ensure follow-ups are actioned effectively.
  • Communication & Liaison: Serve as a primary point of contact for internal and external stakeholders, ensuring timely and professional responses.
  • Project & Task Management: Assist in the execution of key projects, tracking progress and ensuring deadlines are met.
  • Organisational Support: Help streamline operational processes, anticipate business needs, and proactively address potential challenges.
  • Confidentiality & Discretion: Handle sensitive business information with the utmost professionalism and confidentiality.

Requirements:

  • Proven experience as an Executive Assistant supporting senior leadership, preferably within the luxury, hospitality, or art sector.
  • Exceptional organisational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication skills, both written and verbal, with the utmost professionalism and confidentiality.
  • Proactive and resourceful mindset, capable of problem-solving and taking initiative.
  • Attention to detail and a commitment to excellence in execution.
  • An understanding for the arts, luxury, or hospitality industries is a plus.

This is a fantastic opportunity to work closely with an entrepreneurial leadership team in a growing, high-end art business. If you thrive in a fast-paced environment, excel in organisation and communication, and want to be part of a creative and ambitious team, we’d love to hear from you.
