A busy, pro-active professional Institute within the built environment seeks a Practice & Technical Officer to work in its Practice & Technical Department.

The successful candidate will have excellent administrative skills, both verbal and written, with the ability to take responsibility for their own work. The job role mainly focuses on administration for the Practice and Technical Department and liaising with members and professionals in industry. There will be a full induction. The Practice & Technical Officer is responsible to the Practice & Technical Executive and Head of Practice & Technical for the co-ordination and administration of the Practice Department.

The main duties include the following:

  1. Maintain an efficient diary system and establish and manage Departmental processes to ensure communications are dealt with effectively when required.
  2. Administer the CIAT Chartered Practice Register and Register for CIAT Affiliates in Practice in compliance with the Code of Conduct and Requirements when required.
  3. Respond to queries relating to Practice and Technical functions including complaints, providing advice and guidance and disseminating information in user friendly ways.
  4. Support the Department with the secretariat functions for relevant taskforces and societies, in particular Conduct Committee. Duties include (but are not limited to) booking travel and accommodation, arranging and attending meetings, and providing administrative support by coordinating papers and taking minutes/notes.
  5. Issue bulk emails and disseminate information.
  6. Support with the preparation or production of papers and reports for the Department and its groups, and other colleagues as necessary.
  7. Administer and lead on projects relating to the practice and technical functions where requested.
  8. Undertake relevant research and collate responses on consultative matters that relate to practice and technical matters.
  9. Undertake quality control and administration of member and affiliate data, e-filing, and the CRM system.
  10. Prepare and source case studies and articles for publication via Institute media channels.
  11. Ensure members and affiliates are in compliance with CIAT’s Code of Conduct, through annual monitoring processes, such as CPD and Professional Indemnity Insurance in conjunction with the Practice & Technical Executive.
  12. Collate responses to surveys and consultations and analyse returns.
  13. Support with training of colleagues and management of Departmental staff.
  14. Undertake joint projects with other departments within the Institute and with other external organisations.
  15. Work with the Head of Practice & Technical to contribute to the Department’s annual budget.
  16. Represent the Institute externally.
  17. Keep informed of industry trends, regulations, and developments to ensure that the Practice & Technical Department’s activity aligns with the changing needs of the sector.
  18. Contribute to a positive environment for the Practice & Technical Department to work in.
  19. Carry out any other duties as required.

Advanced IT skills with knowledge of MS Word, Excel and databases are essential.

The Practice & Technical Department has a manual which details its protocols. You would be required to ensure it is maintained as it applies to your role and responsibilities.

CIAT offers the following benefits:

  • 20 days annual leave (pro rata for part time or fixed term positions) plus bank holidays, with additional days for Easter and Christmas week. Leave allocation increases by one day per year up to 25 days (pro rata for part time or fixed term positions).

The Practice & Technical Officer may be required to travel to out-of-office meetings as directed which might involve overnight stays at the Institute’s expense. The Institute has a policy in place for time off in lieu of working “out of hours”.
