About the Role

We are currently recruiting for an Accounts Receivable Assistant to perform invoicing/billing activities such as preparing, recording, analysing and reporting invoicing/billing transactions, ensuring compliance with contracts. Respond to basic questions or concerns from customers with regards to their invoicing/ billing processes. Provide insights and analyses to management on invoicing/ billing operations. Collaborate with commercial and operations department to resolve customer and invoicing queries.

Location: Stanford le Hope or Southampton

Hours: PART TIME ROLE 15 HOURS PER WEEK - Ideally Monday and Friday (15 hours per week across the 2 days). We have some flex as to how these hours are worked . Monday or Friday + one other day OR 4x mornings

Contract: 2 year FTC

How you will contribute

• Checking of invoices and sending out to customers on a daily basis and at month end when the demurrage invoicing is run.
• Providing Credit checks on new customers using web-based applications.
• Setting up new customers in all relevant systems.
• Input, printing and sending out of manual invoices & credit notes.
• Ensuring that all billable items are captured on all Port sales invoices to Shipping Lines, Rail Companies and Haulers on a daily and monthly basis.
• Ensuring that all billable rental and service charge items are captured on the Tenants sales invoices.
• Work with Operations and Commercial to resolve invoice queries.
• Maintain several excel spreadsheets including credit notes raised detailing reason and amount for auditing purposes and vessel log to show reconciliation of vessel invoicing.
• Supporting the accounts receivable manager in times of absence.
• Assist the team with other duties in periods of annual leave and sickness.

What you will bring

QUALIFICATIONS

• GCSE in English and Maths grade C+ - Must have.
• AAT qualified or part qualified – Desirable or a want to study.

EXPERIENCE

• Knowledge of accounts procedure and computer skill – MS Excel, MS Word.
• Understanding of how billing system works for computer generated invoices.
• Good customer service ethos with a flexible approach to tasks to support the needs of the business.

SKILLS

• Good interpersonal, influencing and communication skills.
• Ability to prioritise and manage fluctuations in workload.
• Willingness to work flexible hours from time to time, as may be reasonably requested according to work requirements.
• Good organisation skills.
• Team player.
