About the Opportunity

The Professional Services Project Management Office is seeking a highly skilled and motivated Smartsheet Business Systems Analyst to join our team. The ideal candidate will be responsible for managing, configuring, and optimizing our Smartsheet platform, including Smartsheet Control Center. This role will ensure the efficient and effective use of the platform across the Ellucian PMO by creating template project plans, designing and maintaining workflows, automating processes, and providing support and training to end users. The Smartsheet Business Systems Analyst will also collaborate with cross-functional teams to implement and manage project portfolios, improve business processes, and support Smartsheet governance.

Where You Will Make an Impact

  • Smartsheet Administration: Manage and configure Smartsheet templates, including setting up and maintaining sheets, reports, dashboards, and automations.
  • Smartsheet Control Center Management: Contribute to the implementation and ongoing management of Smartsheet Control Center, including the creation and maintenance of project templates, workflows, and program-level dashboards.
    • Design and configure project portfolios, ensuring efficient project tracking, reporting, and execution.
    • Ensure the smooth integration of Smartsheet Control Center with existing Smartsheet and third-party applications.
    • Monitor and manage project status, milestones, and dependencies across multiple programs or projects (portfolio level view).
    • Provide insights and recommendations for optimizing project portfolios and managing large-scale initiatives.
  • Customization & Optimization: Tailor Smartsheet workspaces to meet the needs of various teams, ensuring effective communication, smooth workflows, enhanced collaboration, and maximum efficiency.
  • User Support & Training: Provide ongoing support and troubleshooting for Smartsheet users; primarily Project Managers, leadership, consultants, or customers. Conduct training sessions and create user guides to help employees and customers effectively utilize Smartsheet tools, with a focus on Control Center functionalities.
  • Automation & Integration: Develop and implement automated workflows, alerts, and approval processes within Smartsheet. Integrate Smartsheet with other enterprise systems and tools (e.g., Slack, Jira, etc.).
  • Data Management & Reporting: Create and maintain dynamic reports and dashboards to provide real-time data insights to management and teams. Ensure data accuracy and consistency across the platform.
  • Best Practices & Governance: Establish, document, and maintain best practices, governance standards, and naming conventions for Smartsheet use to ensure consistency across the PMO.
  • Collaboration with Teams: Work closely with project managers, department heads, IT, or contractors to design and implement Smartsheet solutions that meet organizational needs.
  • System Updates & Maintenance: Regularly update and maintain Smartsheet templates, forms, and other assets to improve functionality and efficiency, including updates to Control Center blueprint configurations and workflows.

What you will bring

  • Minimum of 2-3 years of experience working with Smartsheet or similar project management software, with specific experience in Smartsheet Control Center preferred.
  • Proven experience as a Business Systems Analyst or similar role, with a deep understanding of Smartsheet's features and functionalities, including Smartsheet Control Center.
  • Strong knowledge of project management principles and best practices, especially in the context of portfolio management and program tracking.
  • Familiarity with Smartsheet integrations and automation tools.
  • Proficiency in creating reports, dashboards, and workflows in Smartsheet, with experience in Smartsheet Control Center.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively with a variety of teams and stakeholders across the globe.
  • Experience with other project management or collaboration tools (e.g., Microsoft Project, Jira, Asana) is a plus.
  • Ability to independently manage multiple tasks and priorities in a fast-paced environment.
  • Smartsheet certification (e.g., Smartsheet Certified Core Product, System Administrator, Project Management, Control Center Lead, or Control Center Blueprint Builder) is highly desirable.
  • Bachelor’s degree in Information Technology, Business Administration, Project Management, or equivalent experience.
