Job Title: Remote Event & Administrative Coordinator (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $1,200 - 1,800 USD/month depending on experience

Schedule: Monday to Friday (with occasional Saturdays), 10:00am to 6:00pm Eastern with 1hr lunch break

Job Overview

Our client is a premier event planning and production company specializing in high-end events, including corporate gatherings, Bar & Bat Mitzvahs, and non-profit functions. They provide event production, AV & lighting rentals, entertainment, and venue management at their unique waterfront venue in Fairfield County, Connecticut. Their mission is to deliver exceptional event experiences with top-tier service and innovative solutions.

They are seeking an organized and detail-oriented Event & Administrative Coordinator to support their fast-paced team. This individual will excel in dynamic environments, ensuring smooth operations for a company that handles large-scale events, from corporate gatherings to Bar & Bat Mitzvahs. You will act as the organizational backbone, managing emails, vendor and client communications, and website updates. You will also provide crucial support to the company's founder, managing their schedule and ensuring deadlines are met.

The ideal candidate possesses strong organizational and communication skills, is tech-savvy, and demonstrates proactive problem-solving abilities. You should be comfortable managing projects, interacting with clients and vendors, and maintaining website content.

Responsibilities:

Client & Administrative Management:
  • Manage incoming phone calls and inquiries for the venue and company.
  • Provide detailed information on venue spaces, services, and event offerings.
  • Schedule and coordinate venue walkthroughs, client meetings, and follow-up communications.
  • Verify receipt of required event documents (e.g., certificates of insurance) 5-7 days prior to events.
  • Confirm event staff scheduling within the same 5-7 day timeframe.
Vendor & Event Logistics:
  • Verify vendor credentials and compliance upon arrival at venue.
  • Communicate with vendors and venues for event planning and coordination.
  • Coordinate event logistics, including vendor needs and equipment rentals.
  • Support event setup by ensuring all necessary rentals, lighting, and AV equipment are prepared.
Talent Coordination:
  • Coordinate talent for the company, both on-site and off-site.
  • Provide entertainers, DJs, and performers with event details and requirements.
  • Confirm talent availability, arrival times, and technical needs.
Sales & Marketing Support:
  • Respond to potential client inquiries and assist in converting leads to bookings.
  • Support basic marketing efforts to increase event visibility.
  • Manage email collection through captive portals and contribute to client engagement strategies.
Web & Content Maintenance:
  • Perform basic website updates, including event details and media uploads.
  • Ensure website information is accurate and up to date.

Qualifications, Skills and Key Competencies:

Required Qualifications & Experience:

  • Proven experience in administrative support, event coordination, or customer service.
  • Strong verbal and written communication skills for effective interaction with clients, vendors, and event talent.
  • Demonstrated ability to manage multiple tasks, maintain organization, and meet deadlines.
  • Proficiency in using email, phone systems, and basic office software (Mac-based environment, iPhones, RingCentral).
  • Fundamental understanding of event logistics, vendor coordination, or talent management.

Preferred Qualifications & Experience:

  • Experience within the event, hospitality, or entertainment industry.
  • Familiarity with AV, lighting, and event production elements (training provided if necessary).
  • Basic experience with Squarespace or website updates (minor role responsibility).
  • Prior experience coordinating with vendors, venues, or talent booking.
