The Candidate
The Payroll Specialist will be responsible for managing and ensuring the accurate administration of the payroll process. This includes collecting, reviewing, and processing all necessary information, as well as handling procedures and payments with government institutions.
The Role
They must ensure accuracy and timeliness in payroll processing while guaranteeing compliance with legal and tax obligations with entities such as IMSS, Infonavit, and Fonacot. Additionally, the specialist will be tasked with maintaining up-to-date employee payroll information and continuously improving payroll processes to enhance efficiency.
Responsibilities
- Collect and verify all necessary information for payroll processing (hours worked, incidents, absences, bonuses, deductions, etc.).
- Coordinate payroll-related information tools, such as time clocks, vacation management tools, and employee records.
- Perform weekly or bi-weekly payroll calculations, as well as variable compensation calculations when applicable, ensuring accuracy and maintaining confidentiality.
- Reconcile incidents to prepare pre-payroll and verify with the managers of each department.
- Review and verify payroll calculations before final approval and payment issuance.
- Ensure timely employee enrollments and terminations in the payroll system, as well as registrations with IMSS and other labor institutions.
- Prepare and send electronic payments or checks as required.
- Manage and ensure compliance with obligations to IMSS, Infonavit, Fonacot, and other government institutions.
- Address requirements from IMSS or Infonavit.
- Prepare and submit corresponding declarations and payments promptly.
- Generate weekly, monthly, and annual payroll-related reports.
- Collaborate in internal and external audits, providing the required information.
- Generate relevant payroll indicators periodically.
- Coordinate with Human Resources to ensure that employee and payroll information is accurate and timely.
- Ensure that employee files are complete, both physically and electronically.
- Reconcile and verify payroll accounting records to ensure that the information is complete and error-free.
Minimum Requirements:
- 3+ years of experience in payroll, preferably in medium or large-sized companies.
- Up-to-date knowledge of labor laws and tax regulations.
- Ability to handle large volumes of data with precision.
- Excellent organizational skills and attention to detail.
- Proficiency in payroll software and ERP systems.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
Preferred Qualifications:
- Experience in managing procedures with IMSS, Infonavit, Fonacot, and other government institutions.
- Experience with the payroll module of ALPHA ERP/SAI is ideal.
- Experience with payroll tools in general, as well as coordinating time clocks and incident reporting.
- Ability to work in dynamic environments with tight deadlines.
