Responsibilities:
- Define and create the list of documents and delivery schedule for each project.
- Identify responsible parties for each document, whether internal (e.g., engineering, quality), supplier (instrumentation, etc.), or another instance of EagleBurgmann (such as external suppliers).
- Responsible for the transmission/reception of documents, acting as the point of contact representing EB before clients.
- Agree with the client on the form of transmission of documents and ascertain the particular requirements of each document (e.g., format, language, size, content, etc.).
- Manage document flow internally and externally (e.g., follow up on approvals with clients, coordinate with internal managers to respond to feedback, etc.).
- Elaborate and control the database of all documents related to projects.
- Maintain custody and storage of all project documents (e.g., create electronic folders to store purchase orders, specifications, drawings, references, minutes, particular communications, operation manuals, supplier information such as catalogs, drawings, data sheets, etc.).
- Keep the status of each document updated (e.g., sent/not sent, received/not received, processed/not processed, approved/not approved, etc.).
- Prepare and maintain performance metrics regarding document preparation (e.g., number of documents processed vs. required, documents approved vs. not approved, sent vs. not sent, number of revisions, on-time delivery, document quality, etc.).
Qualifications:
- Engineering or technical degree in production processes or a related field.
- Recent graduates are welcome.
- Intermediate English proficiency.
- SAP user (desirable).
