An exciting opportunity has arisen for an accomplished and highly motivated Medical Secretary with previous experience to join our friendly and welcoming team.
The Medical Secretary will play a crucial role in providing high-quality administration support within our medical practice.
Excellent accuracy and good numeracy.
An understanding, acceptance and adherence to the need for strict confidentiality of both patient records and business activities of the partnership.
Ability to use own judgment, resourcefulness, common sense and knowledge to respond to patient enquiries and requests and to refer problems and requests to the Practice Manager or Partners as appropriate.
Work safely at all times in accordance with Legislative requirements and practice policy and Procedures.
Main duties of the job
- Two week rule referrals are to be prioritised, raised and sent via ERS within 24 hours of the patient being seen. (These can be in the form of a task, or doc-man) * Digi if cover is needed
- Urgent referrals/advice letters are then prioritised after 2ww which can also be in the form of a Task, or Doc-man *Digi if cover is needed.
- Respond efficiently and effectively to all telephone enquiries, taking action as necessary within practice policy guidelines or passing on concise and accurate messages.
- Raising routine referrals/advice letters in chronological order (These will be in the form of a Task, or Doc-Man) * Digi when cover needed.
- Preparing/creating standard letters within Emis for private medical work, patient letters etc.
- Sending of authorised referrals that are not raised within ERS These are usually in the form of a Task only example sending a private referral or correspondence letters.
- Work lists these need to be managed x2 weekly covering rejections/triaged response, letters outstanding, incomplete, advice and guidance replies, assessment/cancelled/DNA, and awaiting booking.
- Raise private medical letters in chronological order
- Importing new forms to emis
- You will also be expected to carry out any reasonable duties which may be requested from time-to-time.
- Audio/copy type correspondence, reports and any other associated documentation ensuring that the work is produced in an accurate and timely manner.

Qualifications
- GCSE grade A to C in English and Maths
Experience
- Experience of working in a GP surgery or an NHS office environment
- Experience of working in secretarial role in a healthcare setting
- High level of accuracy in presentation of information
- Good standard of English speaking and writing
- High Level of Organisational and Time Management skills
- Ability to work in a fast paced, everchanging environment
- Experience of dealing with the public on the phone and face to face
- Attention to accuracy and detail on a consistent basis
- Confident to respond to a range of different people and colleagues in a courteous and professional manner
- Previous use and understanding of databases and reporting.
- Understands the need to maintain data security and confidentiality of information.
- Experience of using EMIS
