Job description

Mooseheart Child City and School, Inc. is seeking a detail-oriented and people-focused Human Resource Assistant to support our HR operations and help foster a positive, professional environment for our staff and community. This role is ideal for someone who enjoys working with people, values confidentiality, and thrives in a mission-driven organization.

Key Responsibilities:
  • Provide courteous, responsive customer service to staff, applicants, and visitors

  • Serve as the front desk receptionist for the HR department-greeting guests and answering phones

  • Maintain organized HR records and filing systems

  • Assist with onboarding, including collecting pre-employment documentation

  • Coordinate interviews, campus visits, and special events

  • Support the HR team with employee data entry and management in the HRIS system

  • Ensure timely communication of HR-related information across departments

  • Assist in preparing and maintaining compliance-related documents (e.g., 508-1 forms, DCFS driver list)

  • Verify past employment according to company and legal guidelines

  • Process confidential mail and interoffice correspondence

  • Participate in professional development and training as required

  • Maintain strict confidentiality regarding employee, youth, and organizational information

Qualifications:
  • Prior experience in an administrative or HR support role preferred

  • Excellent communication and interpersonal skills

  • Strong organizational skills and attention to detail

  • Ability to handle confidential information with discretion

  • Proficiency in Microsoft Office and familiarity with HRIS systems is a plus

  • Willingness to learn and grow within a collaborative HR team
