Job description

Westlakes Recruit are currently recruiting for an Executive Assistant ideally with a background in a highly regulated sector to be engaged on a contract basis in London.

As Executive Assistant you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Complex diary management, organising meetings and appointments, being able to adapt at short notice to changing priorities.
  2. Arranging complex international and domestic travel, transport, accommodation, and visas when required.
  3. Arranging client/ partner/ supplier/ staff meetings, producing detailed itineraries.
  4. Complete monthly expenses.
  5. Tracking and reminding the Senior Members of staff of important tasks, actions, and deadlines.
  6. Compiling and preparing reports, spreadsheets, presentations, packs, and correspondence.
  7. Monitoring and reporting on timesheets, PDR appraisals and other group requirements.
  8. Monthly update / chase of annual leave trackers.


Requirements

  1. Experience working with global teams.
  2. Able to work well under pressure and prioritise workload, while managing multiple tasks.
  3. Professional and confident manner.
  4. Can be trusted to always maintain confidentiality.
  5. Organised and efficient.
  6. Ability to communicate in a concise manner (oral and written) at all levels within the organisation, and to liaise with senior personnel.
  7. Positive proactive approach.
  8. Excellent administration and communication skills.
  9. Excellent knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, and MS Teams).
  10. Good time management skills with ability to work to deadlines.
  11. Relevant experience in a similar position.
