Job overview

An exciting opportunity has arisen for a Medical Transcriptionist Team Leader to join our Administrative Team based at Leigh Moss Hospital, 7 Thomas Lane, Liverpool, L14 5NX.

The post holder will provide support to Consultants, Junior Doctors and Clinical Team within this service. Our team supports people who have mental health illness and are being treated in the Community. The multi-disciplinary team provide Community based support including assessment, treatment and psychosocial interventions to enable people to live well with their conditions.

Successful applicants will be able to organise their own workload and co-ordinate workload activities within the team. The successful candidate will have excellent interpersonal skills and a friendly telephone manner. There is a need to be able to work to tight deadlines and withstand the pressure of a busy department and it is essential that you are able to work on your own initiative.

Main duties of the job

The post holder’s main duties will include planning, organising, directing and co-ordinating the work of the identified service. The post holder will be expected to work with the minimum of supervision.

You will be able to demonstrate flexibility and use your own initiative to carry out duties in such a way as to make a direct and positive contribution to the organisation, thus enabling the medical team to utilise their time in an efficient and effective manner.

The post holder will provide a confident professional service to all service users and their carers whilst supporting them throughout their pathway of care. It is vital that confidentiality be maintained at all times. The post holder must adhere to Trust Policies and Procedures at all times.

Detailed job description and main responsibilities

Communicate professionally and effectively with service users and carers, the general public and all internal and external agencies both verbally and non-verbally in a timely manner.

Proactively manage telephone calls; many may be of a sensitive nature from service users and carers or from other healthcare professions, which require a high level of confidentiality and sensitivity.

Responsible for providing accurate, up to date, non clinical advice relating to queries into the unit.

Ensure diplomacy, empathy and confidentiality when dealing with distressed service users and carers.

Liaise with clinical and non clinical staff to resolve any issues that may arise, to the mutual benefit of all concerned.

Attend and contribute to departmental/team meetings.

Undertake a key role in ensuring the delivery of a high quality service user pathway by working closely with clinical teams to meet national and locally agreed targets for both inpatient and outpatient episodes by monitoring the Business Intelligence Today system and working closely with the team to address any issues.

Ensure the team respond and action referrals within locally agreed timescales, ensuring a clear audit trail.

Support the day to day organisation of the clinical teams by managing diaries, coordinating meetings, ensuring appropriate documentation available for meetings/lecturers, preparation of documents/presentations, attending meetings to take minutes and tying of agendas/minutes.

Be responsible for ensuring that all commitments are reduced/cancelled when necessary adhering to relevant procedures and deadlines.

Where appropriate ordering and receipt of general office stationary and equipment.

Adapt a flexible attitude to meet the needs of the service, taking into consideration each area’s unique specialty and subsequent requirements of such specialities.

Mentoring new members of staff including temporary staff as and when required.

General office duties including dealing with incoming and outgoing correspondence, filing, photocopying etc.

When required, provide appropriate clinical information following requests from the Patient Information Systems in use.
