Executive Assistant to the Directors/ Office Manager

As the Executive Assistant to the Directors/ Office Manager, you will undertake a range of pivotal responsibilities essential to our operations. These include general office management, hosting office meetings, complex diary management, booking travel, and handling adhoc administrative duties. Furthermore, you will collaborate closely with the Chief of Staff to offer assistance to various business units as required, thereby facilitating seamless operations throughout the organisation.

This is a full-time position from 9am to 5pm, Monday to Friday. As a hybrid role, we have a minimum expectation of 3 days on-site in our London Bridge office, with flexibility required for further in-office events. The annual salary range for this position is between £28,000-£32,000. At this time, sponsorship is not available for this role.

Key responsibilities

You will work across the overall management of directors & support stakeholders. You will be responsible for:

  • General Office Management Tasks: Handle general office management tasks such as maintaining office supplies, equipment, and facilities. Ensure smooth daily operations to support overall organisational efficiency. Maintain confidentiality and handle sensitive information with discretion. Organise internal and external meetings, arranging for catering and materials as needed.
  • Diary Management: Efficiently manage directors' complex schedules and diaries, including coordinating appointments, meetings, and travel arrangements.
  • Adhoc Administrative Tasks: Undertake adhoc administrative tasks as required, demonstrating flexibility and adaptability. Provide additional administrative support to directors as needed, including reminders for reports and external newsletters.
  • Supporting Other Business Teams with Interim Tasks: Collaborate with other business teams, providing interim support as needed to ensure smooth operations. Assist in the organisation and coordination of meetings, conferences, and events both internally and externally. Act as a liaison between directors and internal/external stakeholders, ensuring effective communication.
